Overview
Our partner company based in Canada is seeking a Creative Executive Assistant to join their team remotely. This position acts as the operational partner to a senior creative executive within a dynamic, fast-expanding environment. The role is pivotal in advancing strategic priorities by effectively managing complexities, maintaining focus, and structuring impactful initiatives.
Key Responsibilities
- Efficiently manage and optimize the executive's calendar to ensure attention to top priorities, minimizing distractions.
- Monitor upcoming deadlines, commitments, and priorities to keep projects on track and facilitate timely completion of key tasks.
- Manage executive meeting operations including preparing agendas, recording notes, and following up to ensure stakeholder accountability.
- Compose communications, prepare briefs, and handle correspondence with discretion and prioritization awareness.
- Coordinate various operational duties such as expense reporting, invoice processing, travel arrangements, and document management.
- Establish and nurture strong relationships with direct reports, cross-functional partners, and leadership to foster collaboration and maintain context.
- Proactively identify challenges and improvement opportunities, designing processes to boost operational efficiency.
- Adapt quickly to shifting priorities and support a dynamic work pace, including occasional availability during critical business periods.
Candidate Requirements
- 5 to 7 years of experience supporting senior leaders, ideally in creative, brand, editorial, agency, media, or rapidly growing organizations.
- Highly organized with strong anticipation of needs, prioritization skills, and the ability to take initiative independently.
- Sound judgment and confidence to question lower-priority requests to safeguard executive focus.
- High emotional intelligence with adaptability to diverse work styles and personalities.
- Strong written and verbal communication skills skilled at creating clear messages, briefs, and executive communications.
- Comfortable operating in ambiguous, fast-paced environments with fluctuating priorities.
- Proficiency in Google Workspace, Slack, and contemporary productivity tools; knowledge of Figma is a plus.
- Experience leveraging AI-based tools to enhance workflow efficiency and productivity.
- Ability to collaborate effectively with senior stakeholders and cross-functional teams.
- Attention to detail, high discretion, and a strong sense of ownership.
