Dispatch Executive / Officer

About the Role

4Syz Infotech Solutions Pvt. Ltd. seeks a motivated and meticulous Junior Order & Dispatch Executive to oversee the full order processing cycle, dispatch coordination, inventory management, and supply chain activities at their HSR Layout 7th Sector location in Bengaluru. This role suits freshers with relevant academic background as well as candidates with experience, combining operational rigor with excellent customer service.

Key Responsibilities

• Manage the complete lifecycle of orders from receipt through to dispatch completion.
• Collaborate with internal departments, suppliers, and customers to ensure smooth order execution and timely deliveries.
• Monitor and update order statuses, preemptively addressing any delays or challenges.
• Adhere strictly to all customer commitments and meet Service Level Agreements (SLAs).
• Schedule and coordinate daily dispatch tasks, preparing necessary documentation.
• Engage with courier companies, transporters, and logistics partners to track shipments and resolve dispatch issues efficiently.
• Maintain accurate inventory records, oversee stock levels, and conduct regular inventory audits.
• Implement inventory control techniques such as FIFO and LIFO, monitor aging stock and expiry where applicable.
• Work alongside procurement to ensure timely stock replenishment.
• Supervise the dispatch and warehouse support teams by assigning workloads and ensuring adherence to operational guidelines.
• Source new products and solutions from vendors, facilitating cost-effective and innovative offerings aligned to client needs.
• Provide product information and samples to support business development efforts.
• Build strong relationships with clients and internal teams to ensure responsiveness and satisfaction.
• Generate operational reports covering orders, dispatches, inventory, and SLA metrics.
• Continuously seek process improvements to minimize errors and maximize efficiency.

Qualifications & Experience

• Graduate degree in Supply Chain Management, Logistics, Operations, Commerce, Business Administration, or related fields.
• Diplomas or certifications in Supply Chain or Logistics are advantageous.
• 0 to 3 years of experience in order management, dispatch, logistics, inventory control, or supply chain operations preferred.
• Fresh graduates with relevant academic exposure and strong operational aptitude are encouraged to apply.

Skills & Attributes

• Strong understanding of supply chain processes, inventory management, and control methods like FIFO and LIFO.
• Excellent organizational, multitasking, and prioritization skills to meet stringent client SLAs.
• Effective communication and coordination skills.
• Proficiency in MS Excel and basic reporting; familiarity with ERP or inventory management software is a plus.
• Leadership capabilities to effectively manage dispatch/support teams.
• Detail oriented with problem-solving aptitude.
• Customer-focused, proactive, accountable, able to work under pressure, and a positive team player.

Compensation

For experienced candidates, compensation will be commensurate with qualifications and proven capabilities. Freshers will begin with an internship stipend of 16000 INR per month for three months, followed by potential conversion to full-time employment with a salary increase based on performance.

Employment Type: Internship for 3 months for freshers with conversion to full-time employment; experienced candidates may be hired immediately as full-time employees.
