Role Overview
The Executive Operations Manager acts as the central operational liaison for the Executive Office, empowering the COO to lead effectively while also supporting the CEO. This position plays a vital role in organizational follow-through, communication management, and leadership preparation for significant meetings and events. The role involves orchestrating projects by aligning personnel, timelines, and resources to achieve high-quality results and ensuring transparent communication with all stakeholders.
Key Responsibilities
- Proactively track unresolved decisions, overdue tasks, and dependencies to guarantee project completion and sustained progress on executive priorities.
- Prepare briefing materials, meeting agendas, stakeholder profiles, and key talking points to ready the CEO and COO for engagements.
- Anticipate the needs of executives, balance competing priorities, and supply essential information for informed decision-making.
- Coordinate executive scheduling, communication, and logistical arrangements as the primary point of contact.
- Oversee projects and initiatives by managing stakeholders, monitoring milestones, and keeping deliverables on schedule.
- Facilitate effective information exchange between leadership and cross-functional teams.
- Create and maintain operational systems, trackers, and reports to enhance transparency, accountability, and efficiency.
- Document meeting outcomes including decisions and action steps, managing follow-ups across the organization.
- Organize executive meetings by developing agendas, distributing pre-meeting materials, coordinating presenters, and handling logistics.
- Simplify complex reports and presentations into clear executive summaries focusing on key insights, risks, and actionable recommendations.
Requirements
- Bachelor's degree or an equivalent blend of education and relevant professional experience.
- 2 to 5 years of experience in roles supporting senior leadership, managing executive operations, or project management within dynamic environments.
- Proven project management skills with meticulous attention to detail and a solution-oriented mindset.
- Exceptional organizational capabilities to juggle multiple priorities, shifting deadlines, and competing demands efficiently and professionally.
- Excellent written and oral communication skills, including the talent to influence, distill complex information into concise executive-ready summaries, and prepare briefing documents.
- Experience in planning, facilitating, and recording meetings with clear outcomes and follow-up actions.
- High professionalism, confidentiality, and sound judgment in handling sensitive information and stakeholder interactions.
- Proficiency with Microsoft Office 365, virtual conferencing software, and project management or collaborative platforms.
- Ability to work autonomously, foresee requirements, and make sound decisions within a fast-changing context.

Work Environment and Culture
