Job Overview
We are seeking an experienced HR Coordinator & Administrator to oversee our plant facilities and manage various administrative, human resources, and legal affairs to support efficient operations.
Key Responsibilities
- Supervise maintenance and development of offices and factory premises along with equipment upkeep.
- Ensure compliance with company policies and procedures across the facility.
- Develop and maintain infrastructure that enhances employee comfort and productivity.
- Lead facility projects such as office relocations, space adjustments, and expansions.
- Manage travel arrangements including transportation and lodging for staff.
- Assist in specifying contract services for utilities maintenance and repairs beyond company capabilities.
- Handle utility location needs for both maintenance and construction activities.
- Adhere to and improve security standard operating procedures (SOPs).
- Address physical security incidents promptly, conduct root cause analyses, and implement corrective measures.
- Oversee security intelligence gathering, vigilance, and threat assessments.
- Inform management about security risks and recommend mitigation strategies.
- Maintain security of personnel and materials, ensuring all fire equipment is functional.
- Plan and execute loss prevention initiatives to minimize theft and losses.
- Provide training to staff on security and fire safety and maintain related records.
- Ensure statutory compliance related to factory operations.
- Manage assignments across multiple locations as needed.
- Develop and implement pharmaceutical standard operating procedures (SOPs).
- Promote an inclusive work environment respecting cultural diversity.
- Maintain harmonious industrial relations within the factory.
- Oversee housekeeping, pest control, scrap management, and training programs.
- Coordinate employee medical examinations and travel management.
- Develop and enforce maintenance procedures including inspections for facility issues.
- Check electrical and other building systems for proper functioning.
- Plan and supervise repair and installation work, allocate workload to upkeep staff.
- Manage inventory of equipment and place purchase orders as needed.
- Monitor maintenance expenses and manage the budget accordingly.
- Maintain relationships with contractors and service providers.
- Keep detailed maintenance logs and report daily activities.
- Ensure compliance with health and safety policies at all times.
- Handle talent acquisition, training and development, and contract labor management.
- Support human resources processes and liaise between employees and insurance providers.
- Resolve benefits-related issues and oversee health and welfare plan administration.
- Create, update, and maintain personnel, financial, and other organizational records.
- Maintain corporate safety procedures and access control compliance.
- Manage official company documentation and archives.
- Propose and support legal affairs management including strategy and compliance.
- Prepare legal advice on various substantive and procedural company matters.
- Perform additional tasks as assigned by management.
Required Qualifications
- Minimum of 3 years’ experience in human resources, legal affairs, and administration management.
- Higher education degree in human resources, business administration, economics, law, or related social sciences.
- Proficiency in English and Albanian languages.
- Advanced skills with MS Office applications.
- Strong communication skills, both verbal and written.
- Valid driver's license, category B or equivalent.
