IT Digital Specialist

Overview

The IT Digital Specialist will serve as a Subject Matter Expert responsible for handling Document, Record, Information, Content, and Knowledge Management. This role requires engaging with business units to gather detailed requirements, producing clear functional design documents, and guiding the development of technical solutions to ensure quality outcomes.

Key Responsibilities

• Lead and manage record retention policies across the organization's enterprise systems.
• Develop and review Records Management Standards for consistent application.
• Establish and refresh document management processes covering both physical and electronic records, ensuring compliance with security standards.
• Contribute to designing Enterprise Content Management (ECM) solutions aligned with organizational goals.
• Formulate compliance strategies and frameworks to address audit findings related to document and record management.
• Promote awareness and foster cultural adoption of Records Management best practices.
• Direct testing and quality assurance activities focused on ECM service excellence.
• Participate actively in Records and Information Management projects as a key contributor.
• Act as Subject Matter Expert for ECM software and governance-related aspects.
• Support migration processes including backlog management, scanning, and approval workflows.
• Provide technical support for software evaluations, application programming, operations, and data communications.
• Develop functional design documentation and training materials for users and technical staff.
• Assist in user training and provide technical guidance to development teams.
• Analyze enhancements for compatibility, perform integration testing, and resolve interface issues.
• Monitor application compliance with IT policies and standards.
• Manage task allocation and contribute to project planning and coordination activities.
• Arrange and document conference calls and status meetings.
• Offer on-call support as needed and collaborate with cross-functional teams to ensure effective application implementation.

Educational and Professional Qualifications

A bachelor's degree in Computer Science, Engineering, Business Administration, or a related discipline is essential. Preferred qualifications include IT certifications focused on project management, software development, and ITIL frameworks.
