About the Role
We are seeking a detail-focused and highly organized Purchasing & Billing Coordinator who excels in managing multiple priorities in a dynamic environment. This position supports the smooth execution of purchasing, billing, and project operations with accuracy and proactive problem-solving. The role works collaboratively with designers, vendors, and clients to ensure timely procurement and billing processes within our expanding interior design firm.

Key Responsibilities
- Manage procurement of furniture, materials, and decor for various design projects.
- Oversee the purchasing inbox, tracking shipments and resolving any purchasing order (PO) concerns.
- Update NetSuite with shipment statuses and tracking data, ensuring invoice and PO reconciliation.
- Enter vendor bills into NetSuite, submitting them timely for accounting approval to support revenue recognition and PO closure.
- Work closely with design staff to confirm precise product details when needed.
- Administer drop-ship POs for e-commerce orders by placing orders, updating vendor acknowledgments, and tracking estimated ship dates.
- Handle billing duties including invoice preparation aligned with project milestones and maintain up-to-date billing and project budget records.
- Provide administrative support by maintaining thorough purchase and transaction documentation and assisting with financial reporting.
- Contribute positively to adapting processes to meet evolving business priorities.
Required Qualifications
- Associate or Bachelor's degree preferred.
- 1 to 2 years experience in purchasing, billing, or project coordination roles within professional, fast-paced environments.
- Experience in interior design or related industries valued.
- Proficient with GSuite applications and ERP systems such as NetSuite or Houzz Pro.
- Strong multitasking and organizational abilities.
- Detail-oriented with creative and critical thinking skills.
- Self-motivated, collaborative, and open to constructive feedback.
