Position Overview
We are looking for a highly organized and proactive Assistant Project Manager to act as the key link between field operations and office personnel. This role is perfect for those who flourish in dynamic environments, excel at multi-team communication, and are dedicated to maintaining project structure and timelines.
Responsibilities
- Act as the main point of contact facilitating communication between onsite field staff and office teams.
- Provide administrative and project support to the Director of Field Operations.
- Manage the flow of emails and ensure timely responses and follow-ups.
- Maintain comprehensive records including project documentation, onboarding/hiring paperwork, and timesheets.
- Regularly update foremen on project progress, manpower, scheduling, safety compliance, and outstanding issues.
- Assist in preparing, monitoring, and submitting Change Orders.
- Coordinate effectively with project managers, estimators, payroll, and accounting departments.
- Track pending tasks and ensure deadlines are consistently met.
- Organize and maintain project files and documentation accurately.
- Schedule necessary meetings, site inspections, deliveries, and visits.
- Support project scheduling and overall coordination efforts.
- Facilitate smooth project workflows by maintaining clear communication between all parties.
- Fulfill additional administrative and project-related duties as required.
Qualifications
- Prior experience in construction project coordination, project management, or construction administration preferred.
- Background in commercial or union construction highly desirable.
- Familiarity with construction-related documentation, including Change Orders and field paperwork.
- Excellent organizational skills with the ability to juggle multiple priorities in a fast-paced setting.
- Strong verbal and written communication capabilities.
- Meticulous attention to detail coupled with solid problem-solving skills and follow-through.
- Proficiency in Microsoft Outlook, Excel, and Word.
- Experience with construction management platforms like Procore or Sage is an advantage.
- Professional communication skills when interacting with field staff, subcontractors, vendors, clients, and internal departments.
- Bilingual English/Spanish is considered a plus.
