About the Role
The Blueprint for Maryland's Future Accountability and Implementation Board (AIB) is searching for an Executive/Special Assistant to support its mission to transform public education in Maryland. The AIB is a state agency focused on implementing a comprehensive multi-year educational initiative. This position will directly assist the Executive Director and support the Board, which consists of seven gubernatorial appointees. The role offers the opportunity to join a highly collaborative team dedicated to impactful education reform.
Primary Responsibilities
- Act as a Special Assistant to the Executive Director, AIB staff, and Assistant Attorney General to facilitate efficient operations.
- Provide comprehensive administrative support to the AIB organization.
- Oversee incoming communications via AIB email and Google accounts, delegating or responding as needed.
- Manage the tracking and distribution of reports submitted to the AIB.
- Review organizational documents to ensure they are accurate and of high quality.
- Organize and coordinate AIB Board meetings, including material preparation, ensuring meetings are livestreamed and archived online.
- Arrange logistical needs for meetings and collaborate with appropriate employees to prepare agendas and programs.
- Support website updates in partnership with the Outreach and Communications Director.
- Serve as office administrator managing daily operations such as corporate card purchases and tracking leave schedules.
- Handle travel planning, accommodation bookings, event registrations, and expense reconciliation.
- Coordinate compliance with Ethics regulations and manage any Public Information Act requests.
- Assist with recruitment, onboarding, and employee relations in collaboration with the Deputy Director for Operations and the Department of Budget and Management.
- Facilitate internal office communications and use sound judgment in independent decision-making.
- Perform additional duties as assigned.
Qualifications and Experience
- Associate degree or equivalent combination of education and significant high-level administrative experience.
- Minimum of eight years’ experience in administrative roles, including at least two years supporting a senior executive, governing board, or commission head.
- Proven skills in interpersonal, written, and verbal communications.
- Advanced proficiency with Microsoft 365 applications and Google Workspace tools, including cloud file management, shared calendars, and video conferencing technology.
- Strong organizational capabilities enabling independent handling of multiple high-priority tasks with minimal oversight.
Additional Considerations
- Applicants can substitute up to four years of experience with 30 college credit hours per year.
- Bachelor’s degree possession plus four years of professional or administrative experience—at least one year involving supervision or policy development—can substitute experience requirements.
- Graduate-level education credits may replace general experience on a year-for-year basis.
- Military service as a commissioned officer with related administrative experience may substitute experience on a year-for-year basis.
- Preferred experience includes management of daily office operations, copy editing official documents, knowledge of Open Meeting Acts and confidentiality laws, experience in an educational setting, and familiarity with Maryland state financial and procurement systems.
- Graphic design software skills and knowledge of website development tools are advantageous.
