Context and Environment
This position operates amid ongoing economic challenges, particularly concerning rising service costs from providers.
Key Responsibilities
- Manage company properties including company houses and residential properties occupied by the company or leased to tenants, handling rent invoicing, payment follow-ups, levies, caretaking, and municipal bills.
- Oversee radio and television annual licensing payments.
- Perform monthly reconciliations of rent, including debit notes, journals, and management fees; coordinate with cashiers on rent collections and tenant allocations.
- Escalate renovation and fault issues promptly.
- Administer company vehicle operations such as issuing and receiving vehicles, servicing pool cars, managing monthly fuel limits, licensing, acquisitions and disposals, and updating vehicle asset registers.
- Maintain records and documentation for vehicle accidents, ensure insurance processes and police reporting by employees, and manage vehicle safety accessories including fire extinguishers and reflectors.
- Handle all canteen-related matters, including purchasing and distributing groceries.
- Support various HR administrative functions: filing, retrieval of personnel files, coordinating staff transportation when buses are unavailable, managing access cards for employee engagement and disengagement, assisting with immigration permits and visas, minuting labor issue hearings, conducting new employee inductions, managing exit checklists and termination documentation.
- Oversee disposal of office furniture and outdated canteen equipment.
- Create purchase orders and payment requests using systems such as My eProc and EDMS.
- Conduct basic due diligence for service providers and ensure validity of all contracts at all times.
- Manage stationary purchasing and distribution to staff.
- Maintain continuous communication with service providers including taxi services, cleaning, labor broking, and property management.
Candidate Profile
- Holder of a degree in Social Science or Human Resources plus a recognized professional qualification.
- At least 2 years of relevant human resources experience.
- Strong communication skills are essential.
Additional Information
Scope: Responsible for updating and maintaining a vehicle asset register with about 42 company vehicles; managing property and supporting HR processes.
