About the Role

This position is a remote contract role based in the US, specifically requiring candidates to reside within the Pacific Standard Time zone. The position is a W2 contract with an expected commitment of 10-20 hours per week. This role focuses on supporting the organization and execution of trade shows, industry events, and strategic partnerships for a consumer brand environment.

Key Responsibilities

  • Manage all logistical aspects of trade shows, conferences, events, and brand activations from initial planning through to successful execution.
  • Collaborate with booth vendors, event organizers, and external agencies to ensure timely and accurate completion of deliverables.
  • Oversee timelines, project plans, and event schedules while keeping all relevant internal and external stakeholders informed throughout the process.
  • Coordinate the ordering, packing, shipping, tracking, and inventory monitoring of product samples, marketing materials, and other event-related assets.
  • Handle branded merchandise (swag), promotional items, and event assets by maintaining inventory and replenishing stock when necessary.
  • Source, organize, and maintain communication with brand ambassadors and event personnel for key activations.
  • Assist in managing logistics related to sponsorships, partnerships, and external marketing events, including coordinating deliverables.
  • Track and manage event-related financials such as budgets, invoices, purchase orders, and vendor communications.
  • Support activities after events, including recaps, inventory reconciliation, and performance reporting.

Qualifications and Experience

  • At least 2 to 5 years of relevant experience supporting marketing, events, experiential marketing, or trade show operations, ideally within the CPG, food and beverage, wellness, or consumer brand industries.
  • Proven ability to manage multiple projects at once with strong attention to detail.
  • Excellent project management and organizational skills, able to prioritize among competing deadlines efficiently.
  • Experience collaborating effectively with internal teams, external vendors, agencies, and partners.
  • Hands-on experience with managing samples, promotional materials, shipping logistics, and inventory control.
  • Strong written and oral communication capabilities.
  • Proficiency in Microsoft Office applications, especially Excel.
  • A self-motivated individual comfortable working independently in a remote setting.
