About the Role
The CEO's Assistant plays a crucial part in providing top-tier administrative and operational support to the Chief Executive Officer. This role ensures that the CEO’s priorities are managed effectively and that strategic initiatives progress seamlessly. The ideal candidate is a resourceful problem-solver capable of managing complex scheduling, coordinating communication channels, and assisting in executive decision-making with meticulous professionalism. Key Responsibilities
- Manage and organize the CEO’s calendar by scheduling meetings, resolving timing conflicts, and prioritizing urgent engagements.
- Arrange detailed domestic and international travel plans including itineraries and accommodation logistics.
- Prepare and compile materials such as meetings agendas, presentations, reports, and briefing notes for executive use.
- Act as a main point of contact for internal teams and external partners on behalf of the CEO.
- Monitor follow-ups, action items, and deadlines to ensure timely completion of commitments.
- Facilitate communication flow by drafting professional correspondence, organizing documentation, and routing inquiries suitably.
- Assist in organizing executive meetings, board activities, and special projects coordination.
- Maintain confidentiality rigorously when dealing with sensitive corporate, personnel, and strategic information.
- Improve administrative workflows to enhance executive productivity and efficiency.
- Perform other executive support tasks as necessary to assist the CEO and leadership.
Required Qualifications
- Bachelor’s degree or equivalent professional experience in fields related to executive support or administration.
- Minimum of three years supporting senior executives, ideally in fast-paced or high-growth organizations.
- Exceptional organizational and multitasking capabilities.
- Strong verbal and written communication skills with a professional presence.
- Proven ability to handle confidential information with discretion.
- Proficiency in Microsoft Office, Google Workspace, calendaring, and collaboration tools.
- Keen attention to detail and proactive anticipation of executive needs.
- Ability to work autonomously with sound judgment and adapt to changing priorities promptly.
Preferred Qualifications
- Direct experience supporting CEOs, founders, or C-level executives.
- Knowledge of board meeting preparations, investor relations support, or executive communications.
- Experience managing cross-functional projects or executive special initiatives.
