About the Role
Join a global leader in infrastructure consulting as a Document Controller based in Abu Dhabi. In this pivotal role, you will manage and oversee the organization’s document control system, ensuring all project documentation is accurately prepared, systematically stored, and easily accessible for all stakeholders to support operational efficiency and project success.
Key Responsibilities
- Prepare, duplicate, scan, and archive both physical and digital project documents maintaining accuracy and systematic arrangement.
- Review, proofread, and correct technical documents, contracts, and project files to ensure they comply with quality and organizational standards.
- Coordinate the distribution and flow of documents among internal teams and external partners as required.
- Maintain detailed filing systems to facilitate easy retrieval and accessibility of physical and electronic records.
- Develop and adapt document templates and standardized formats for consistent use across various projects.
- Respond promptly to requests for document retrieval from employees and clients.
- Update technical documentation such as manuals, procedural workflows, and guidelines to keep them current.
- Safeguard sensitive and confidential information strictly in adherence to policies.
- Compile reports on document status and compliance on an as-needed basis.
- Utilize Electronic Document Management Systems (EDMS) and document control software effectively to optimize processes.
Qualifications and Skills
- Bachelor’s degree in Project Management, Business Administration, or related disciplines.
- At least 5 years of professional experience in document control or document management roles.
- Excellent command of English with strong skills in spelling, grammar, and punctuation.
- Proficient user of MS Office Suite, especially Word and Excel for document preparation and data handling.
- Familiarity with EDMS and document control systems.
- Exceptional organizational skills and capacity to manage multiple documents prioritizing effectively.
- Attention to detail with an ability to identify errors and maintain quality in documentation.
- Understanding of document control best practices in project-focused environments.
- Experience working in sectors such as engineering, construction, environmental, or related areas.
- Strong interpersonal and communication skills to collaborate with various departments.
- Customer service orientation towards internal and external stakeholders.
- Ability to manage time efficiently and multitask under pressure.
- Problem-solving skills to address documentation challenges and implement improvements.
