About the Role
The Treasury - Te Tai Ōhanga is seeking a skilled and motivated Executive Assistant to join its Enabling Services team to provide vital support to the Chief Legal Officer and Chief Information Officer. You will be essential in managing daily operational tasks effectively, allowing your executives to prioritize strategic goals. This position demands a professional, discreet, and forward-thinking individual capable of juggling multiple priorities in a fast-paced setting.
Key Responsibilities
- Coordinate intricate calendars, travel plans, and meetings, resolving conflicts and prioritizing commitments effectively.
- Review and filter requests for the leaders' attention, ensuring thorough preparation for meetings and engagements.
- Manage and monitor email communications, highlighting urgent issues and drafting necessary correspondence.
- Organize meeting logistics including agendas, minute-taking, and tracking follow-up actions.
- Handle invoice processing, expense claims, and purchasing card reconciliations following Treasury's financial protocols.
- Arrange both domestic and international travel itineraries, accommodations, and expense settlements.
- Serve as the primary liaison for internal and external contacts, fostering strong professional relationships.
- Coordinate communications with Ministers’ offices, senior leadership, and key stakeholders.
- Provide mentoring and support to fellow administrative personnel.
- Continuously seek and propose improvements to administrative workflows and systems.

Candidate Profile
- Proven experience delivering high-level executive assistance to senior leaders.
- Ability to thrive in a complex, dynamic, and high-pressure environment.
- Advanced skills using Microsoft Office tools including Outlook, Word, Excel, and PowerPoint.
- Exceptional organizational, prioritization, and time-management abilities.
- Excellent written and verbal communication with a professional and approachable manner.
- Strong ethical standards, discretion, and sound judgment when managing confidential information.
- Ability to build strong relationships and collaborate effectively with diverse teams.
- Proactive problem-solver who anticipates needs and independently addresses challenges.
- Understanding and commitment to the principles of Te Tiriti o Waitangi.
- Supportive of biculturalism and responsive to Māori perspectives and issues.
- Familiarity with the governmental environment and processes is advantageous.
- Capability to obtain New Zealand Government National Security Clearance as required.
