Logistics Coordinator

Overview

Thermal Works LLC is seeking a Logistics Coordinator to manage daily logistics activities including transportation coordination, shipment documentation, and delivery tracking across domestic and global operations. This role supports smooth logistics by providing shipment visibility, communicating with carriers, maintaining detailed records, and assisting with logistics-related projects for manufacturing partners and customers across the U.S., Europe, Asia, and beyond.

Key Duties

• Manage coordination of domestic and international shipments using approved carriers covering standard freight, heavy haul, and specialized equipment transport.
• Prepare and review all relevant shipping documents such as bills of lading, commercial invoices, packing lists, certificates of origin, ensuring compliance with logistics procedures.
• Track shipments actively and update internal teams about any delays, delivery exceptions, or confirmations.
• Maintain precise and organized electronic shipment records in company systems adhering to retention policies.
• Liaise regularly with freight carriers, forwarders, customs brokers, suppliers, and internal departments regarding shipping activities.
• Coordinate transportation scheduling and carrier appointments at partner manufacturing sites and delivery points.
• Support collection of proof of delivery and manage document archival.
• Assist in special projects and ongoing initiatives to improve logistics operations.
• Perform additional logistics and supply chain support duties as required.

Qualifications

• Preferred Bachelor's or Associate's degree in Business, Supply Chain, Logistics, or similar field, or equivalent experience.
• At least four years in logistics, transportation, shipping, supply chain, or operational support roles.
• Strong knowledge of domestic and international freight processes and documentation.
• Proven experience coordinating shipments and engaging with freight services, customs brokers, and stakeholders.
• Excellent organizational, time management, and problem-solving abilities.
• Strong verbal and written communication skills.
• Proficient with Microsoft Excel and Outlook.
• Ability to work independently in a remote setup, managing multiple priorities efficiently.
• Exceptional attention to detail with focus on data accuracy.

Preferred Skills

• Experience handling logistics for industrial, HVAC, or data center cooling equipment shipments.
• Knowledge of international logistics including customs documentation and tariffs.
• Experience supporting contract manufacturing supply chains across geographic locations.
• Familiarity with transportation management and ERP systems for logistics tracking.

Work Conditions

• Remote role with core hours aligned to Operations team and flexible schedule for coordination across time zones.
