Role Overview
Seeking a Personal Assistant to support the General Manager at a Dubai-based real estate company. This position involves comprehensive responsibilities to manage operations, coordinate across departments, and share management duties effectively. The role demands proactivity and independence, requiring the assistant to complete tasks autonomously and continuously look for improvements in workflows.
Key Responsibilities
- Recruiting, onboarding, and overseeing administrative staff members.
- Collaborating with Public Relations Officers to manage employee work documentation processes.
- Identifying, evaluating, and coordinating with external contractors such as photographers, accountants, and social media managers.
- Resolving complex issues by coordinating among various departments.
- Preparing and maintaining audit and inspection documentation.
- Conducting market and competitor research and producing monthly and quarterly reports on market trends and company performance.
- Organizing formal and informal meetings with staff and property developers.
- Managing financial tasks like depositing rental checks.
- Overseeing renovation projects for managed apartments.
- Performing time-saving errands such as arranging pickups/deliveries, handling documents and keys, coordinating video shoots and couriers.
- Providing advisory and organizational support on general business affairs.
- Integrating and utilizing AI technologies within daily operational workflows.
Candidate Profile
The ideal candidate will have experience in the real estate sector (excluding sales roles), with a strong understanding of market dynamics, administrative procedures, and documentation processes. Personal attributes include a calm, approachable demeanor, good humor, diligence, meticulousness, and an analytical mindset with a passion for creating order and efficient systems. The candidate should be able to manage substantial routine work consistently and reliably.
