Role overview
The Stead Family Department of Pediatrics at the University of Iowa is seeking a Program Coordinator to support the Division of General Pediatrics & Adolescent Medicine. This role carries responsibility for administrative, operational, and financial coordination across a set of pediatric programs and services, including Outpatient General Pediatrics, Adolescent Medicine, Pain and Palliative Care, and Sports Medicine physicians. The position requires sound judgment, discretion, leadership, and the ability to work independently while helping improve how clinical services are delivered.
What you will do
You will work closely with Department Administration and the Division Director to manage business operations, support clinical service delivery, and help carry out strategic and operational priorities for the division.
Program operations
- Oversee the day-to-day operational and financial work tied to the division across multiple sites, programs, and services.
- Partner with departmental and divisional leaders to shape and implement clinical operations, service lines, and strategic initiatives aligned with the department’s goals.
- Serve as the main administrative connection between the division and Pediatrics administration for clinical and non-clinical needs.
- Track projects, examine operational data, review schedules and clinic templates, and assess resident and medical student distribution for efficiency and productivity.
- Prepare reports and monitor performance indicators such as productivity, appointment access, and patient panel management.
- Recommend operational improvements that strengthen service delivery and support strategic objectives.
- Work with leaders at offsite ambulatory pediatric locations on space use, workflow efficiency, and outpatient template planning.
- Support program needs for Ambulatory General Pediatrics, Adolescent Medicine, Pain and Palliative Care, and general pediatric sports medicine physicians.
- Coordinate operational and administrative work among divisional support staff.
- Handle other assignments given by department or division leadership.
Leadership and supervision
- Supervise divisional support staff and complete performance reviews.
- Provide direction, task assignments, feedback, coaching, and counseling to help ensure goals are met.
- Recruit, develop, and manage support staff performance in partnership with Department Administration.
- Monitor individual work performance, give objective feedback, and identify areas for improvement when needed.
- Approve bi-weekly timecards for faculty, staff, and support staff through the Enterprise Labor Management System (ELMS).
Financial management
- Oversee divisional spending, clinical billing, charge activity, and revenue across the full revenue cycle.
- Maintain a working understanding of divisional expenses and budget expectations for the fiscal year.
- Advise administration on budget needs, variances, or discrepancies.
- Support administration leaders in building budgets for programs and services.
Strategic planning and quality improvement
- Act as a strategic business partner to the Division Director and Department Administration.
- Support the planning, development, coordination, and execution of short- and long-term goals in the college, department, and division strategic plans.
- Help implement initiatives that improve productivity, access, efficiency, customer service, and quality outcomes.
- Work with leadership to build project plans covering scope, goals, metrics, resources, deliverables, milestones, timelines, and long-term sustainability.
- Identify needed data, determine how it will be collected, help gather it, and surface barriers, gaps, or risks for leadership review.
- Maintain awareness of contracts and Professional Services Agreements (PSAs) connected to the division.

The Stead Family Department of Pediatrics is a nationally recognized pediatric medicine department focused on excellent care, advanced research, and training the next generation of pediatric health professionals. It includes the medical and research staff of UI Stead Family Children’s Hospital, Iowa’s only comprehensive children’s hospital and one of the country’s top-ranked pediatric care and research institutions.
About the division
The Division of General Pediatrics & Adolescent Medicine has a long-standing record of delivering innovative care for Iowa’s children. Its teams focus on evidence-based practice, access to specialty care, and training residents, medical students, and nurse practitioners. The division also supports child protection services, palliative care, child advocacy and policy, family-physician communication, and child car seat safety education.
