  • Maintain project files and job folders in line with naming and document-management standards.
  • Create jobs in the project and time-management system, including Workamajig.
  • Assist with weekly burn reports and basic budget tracking.
  • Gain a foundational understanding of internal and client financial processes and support senior staff with financial tasks.
  • Schedule and coordinate meetings across teams and external partners, keeping calendars aligned and communication organized.
  • Contribute in internal and external meetings by capturing notes, decisions, and next steps.
  • Keep stakeholders informed on project progress and maintain a reliable record of key communications.
  • Assess workload and timelines, flagging resourcing concerns to management so coverage can be adjusted.
  • Support the project team through strong collaboration and active teamwork.
  • Review deliverables carefully before client submission to help ensure quality standards are met.

What We’re Looking For

  • Strong organization, attention to detail, and follow-through.
  • Comfort using Microsoft Office tools, including Outlook, Teams, Word, beginner-level Excel, and PowerPoint.
  • Prior exposure to publication management software is considered an advantage.
