About the Role
The Workplace Experience Programme Manager at the International Headquarters (IHQ) in Cork is accountable for overseeing the Workplace Experience Programs and daily facilities operations. This position is primarily site-based with occasional travel internationally and reports directly to the Director of Workplace Experience EMEA & APAC.
Key Responsibilities
- Take operational ownership for workplace experience and manage routine facilities operations.
- Possess knowledge of critical facilities and fundamental technical aspects of facilities management systems such as HVAC, Critical Environments, Life Safety, Mechanical & Electrical, and Building Management Systems (BMS).
- Manage Health & Safety aspects including ensuring a safe working environment, conducting site inspections, fire alarm tests, complying with statutory regulations, and responding to out-of-hours escalations/incidents as part of the Emergency Response Team.
- Oversee financial management including hard and soft operating expenditure budgets, snack programs, events, and capital expenditure.
- Manage vendor relationships effectively through service level agreements, standard operating procedures, key performance indicators, and quality reporting aimed at continual improvement and cost efficiency.
- Collaborate with building landlords, facilities management contractors, subcontractors, food and beverage providers, and other relevant parties.
- Coordinate with internal business units to support and deliver onsite events and employee business communications.
- Handle site event communications across SharePoint, TV screens, intranet, and other channels before and after events.
- Manage front of house workplace experience including brand representation, greeting guests/partners/candidates, managing the front of house manual, providing occasional reception cover, and training cover teams.
- Lead and support small refurbishment projects and occasional capital works in partnership with vendors.
- Participate actively in IHQ leadership team and all-hands meetings.
- Conduct weekly induction and orientation sessions for new hires.
- Engage with employees and leaders to address queries, requests, and provide updates on workplace changes.
- Monitor and oversee the effective management of Service Now ticketing system at the site.
- Support the IHQ Green Team in sustainability initiatives and events.
- Handle contracting, invoicing, and purchase order processes.
