Overview
CardioScan, a leading global cardiac diagnostics company operating in multiple countries including New Zealand, is seeking a dedicated Admin Assistant for its Palmerston North clinic. The role involves part-time employment (24 hours weekly) based in-clinic, focused on supporting smooth daily operations within a small team.
Key Duties
- Serve as the primary contact for patients, clinicians, suppliers, and internal colleagues, facilitating effective communication and coordination.
- Greet and assist patients through various communication channels, managing enquiries, bookings, referrals, and appointment scheduling.
- Handle clinical data by downloading and uploading information from cardiac and sleep monitoring devices.
- Assist clinicians and ensure efficient daily clinic operation workflow.
- Manage invoicing and payment processing end to end.
- Maintain precise patient records and clinic documentation.
- Monitor and manage stock inventory and procurement to maintain supplies.
- Contribute to general administrative duties and help improve processes as the clinic expands.
Candidate Profile
- At least one year of office administration or related experience is required.
- Strong proficiency with computers and eagerness to learn new systems and technologies.
- Exceptional organisational capabilities and meticulous attention to detail.
- Friendly, professional communication skills with an ability to establish rapport with diverse stakeholders.
- Self-motivated with skills to independently prioritise tasks amid competing demands.
- A positive, proactive, and team-oriented work attitude.
- Neat appearance and confidence in interacting with patients and professionals.
- Demonstrates initiative and willingness to take responsibility for tasks.
Preferred Qualifications
- Previous work experience in healthcare, diagnostics, or medical technology fields.
- Familiarity with CRM systems or patient management software is advantageous.
