Role Overview
This position offers a unique chance to work closely with the CEO and executive leadership team of a rapidly scaling infrastructure firm. The Executive Assistant & Office Manager role encompasses multifaceted responsibilities including executive support, office administration, HR coordination, Board and investor liaison, and operational management. This role is the linchpin for ensuring efficient executive office functioning through comprehensive calendar and travel arrangement, preparing Board materials, managing investor relationships, and overseeing daily office operations.
Key Responsibilities
- Deliver full administrative support to the CEO and executive leadership, managing calendars, travel arrangements, and correspondence.
- Organize Board and committee meetings by preparing agendas, documents, minutes, and tracking action items.
- Facilitate engagement with private equity investors, lenders, and external advisors.
- Manage office operations including facilities, vendor relations, and procurement activities.
- Coordinate HR functions such as onboarding, offboarding, and employment documentation.
- Plan company events, offsite meetings, and initiatives promoting workplace culture.
- Collaborate with finance to process invoices, purchase orders, and expense reimbursements.
- Maintain confidentiality and handle sensitive information with utmost discretion and professionalism.
Candidate Profile
- At least five years’ experience as an Executive Assistant, Office Manager, or in a related senior administrative role.
- Demonstrated support experience for senior executives, ideally CEOs or Board members.
- Outstanding organizational and multitasking capabilities to prioritize competing demands effectively.
- Highly proficient in Microsoft Office suite with excellent written and verbal communication skills.
- Professionalism and discretion in managing confidential data.
- Self-motivated with a service-driven approach, capable of working independently in a dynamic, rapidly growing environment.
- Experience in private equity-backed companies, as well as exposure to technology, infrastructure, or professional services industries, plus familiarity with Board governance or investor relations is advantageous.
