Role Overview
The Human Resources Administrator plays a vital role within the HR operations team at William Fry, supporting the full employee lifecycle with accurate and prompt administrative assistance. The position demands attention to detail, a structured approach, and the ability to manage diverse responsibilities while maintaining professional service for all employees and partners.
Key Responsibilities
- Manage the firm's relationship with the Law Society of Ireland, including overseeing the annual practising certificate renewal for qualified lawyers.
- Coordinate application documentation for new trainee solicitors ensuring completeness and timely submission.
- Organize qualification paperwork for trainees completing their contracts.
- Update and maintain employee records in the PeopleXD HR system for all HR activities like onboarding, departures, and ongoing employee data management.
- Address employee inquiries and system issues, escalating complex matters and contributing towards process enhancements.
- Ensure HR documentation complies with GDPR by maintaining secure employee files and proper records management.
- Support onboarding by verifying pre-employment checks, issuing contracts, and preparing systems access before start dates.
- Manage offboarding procedures including documentation collection, notifications, and exit interview coordination.
- Facilitate probation reviews with employees and managers in adherence to timelines.
- Oversee leave and absence administration, including annual, family, and sickness leave, ensuring accurate system entries and policy compliance.
- Process payroll adjustments related to employment status changes and benefits, timely communicating with the payroll department.
- Administer Travel Pass and Cycle to Work schemes, ensuring accurate system updates and payroll deductions.
- Respond to HR mailbox queries promptly, escalating when necessary, and prepare employment references with appropriate authorizations.
- Generate HR reports on headcount, absence, and leave for monthly, quarterly, and annual cycles, assisting in dashboard development.
- Provide general HR administrative support and contribute to HR projects and initiatives as needed.
Qualifications and Skills
- A third-level degree in Human Resources, Business, or a related field.
- Meticulous attention to detail ensuring accuracy across tasks.
- Strong organizational skills to handle multiple priorities effectively.
- Excellent communication skills with a poised and accessible demeanor.
- Proficient in Microsoft Word, Excel, and Outlook.
- Capability to manage confidential data with discretion and integrity.
- Knowledge of GDPR requirements relevant to HR data and records.
- Self-motivated and capable of working independently and collaboratively.
Preferred Experience
- Previous experience supporting HR administration or similar functions.
- Familiarity with legal or professional services sectors.
- Experience using PeopleXD or comparable HRIS software.
- Understanding of Irish employment laws.

Additional Information
