About the Role
Consilio's Direct Hire Division is recruiting an HR Assistant for a distinguished law firm based in Washington, DC. This role involves providing essential administrative and operational support across various Human Resources functions, enhancing employee experience and ensuring seamless daily HR operations.
This position is ideal for a well-organized individual with strong attention to detail who is eager to advance their career in Human Resources within a fast-moving professional services environment. The HR Assistant will work closely with HR leadership and gain involvement in onboarding, employee relations, recruitment coordination, HR administration, employee engagement, and special projects.
Key Responsibilities
- Serve as the primary contact for HR inquiries, responding to questions from employees and attorneys, and directing requests accordingly.
- Assist with new hire onboarding tasks such as processing employee data in HRIS systems, completing E-Verify procedures, preparing necessary documentation, and organizing orientation schedules.
- Ensure accurate and confidential maintenance of personnel records in both digital and physical formats, complying with firm policies and relevant regulations.
- Manage employee status updates including hires, exits, promotions, transfers, and relocations by updating internal databases and directories.
- Coordinate communications within the department related to employee lifecycle events.
- Handle HR-related invoices, expense submissions, travel arrangements, and reimbursements for the leadership team.
- Support timesheet processing, approvals, and answer employee queries related to timekeeping.
- Assist in coordinating employee recognition programs and manage arrangements for employee milestones, wellness programs, bereavement acknowledgments, and other special circumstances.
- Provide recruiting support by posting job vacancies, scheduling interviews, coordinating candidate logistics, and backstopping talent acquisition activities.
- Process employment verification requests and update personnel data such as address changes and emergency contacts.
- Help organize company events, training sessions, HR programs, meetings, and activities aimed at employee engagement.
- Maintain and update HR resources including employee directories, intranet content, and internal communications.
- Compile and analyze HR data to support reporting on retention, turnover, compensation, and related workforce metrics.
- Conduct research and prepare reports, presentations, and materials to back HR projects and leadership needs.
- Participate in special projects and undertake additional responsibilities as assigned.
Qualifications
- Bachelor's degree required.
- At least two years of administrative experience, ideally within a law firm, professional services, or corporate setting.
- Prior experience in Human Resources is highly preferred.
- Strong interpersonal, verbal, and written communication skills.
- Customer-service focused with the ability to establish effective working relationships at all organizational levels.
- Proven skill in handling confidential and sensitive information discreetly and professionally.
- Excellent organizational capabilities, attention to detail, and the capacity to juggle multiple priorities under deadlines.
- Good analytical, problem-solving, and critical thinking skills.
- Advanced knowledge of Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
- Experience with HRIS systems and other HR-related technologies.
- Ability to work autonomously as well as part of a collaborative team.
