Role overview
This position is responsible for running the day-to-day coordination of programs involving internal teams, venues, vendors, and partners. The role calls for a highly organized leader who can keep complex workstreams moving, manage a large volume of details, and work smoothly with a variety of stakeholders.
You will handle key program elements such as research, sourcing, vendor and venue coordination, contracts, payments, budgets, timelines, and communications. Success in this role depends on being proactive, persistent, and solutions-oriented while balancing multiple priorities.
Reporting to the Director, you will support programs from planning through completion. That includes keeping timelines on track, clarifying next steps, securing approvals, and ensuring deliverables are managed effectively. You will also help spot issues early and keep everyone aligned through consistent communication and follow-through.
In addition, you will guide direct report(s) in day-to-day work by helping with prioritization, training, mentoring, and general oversight. The role requires a collaborative and approachable style, along with confident leadership and flexibility.
Working conditions
Evening and weekend availability is required depending on program needs.
Responsibilities
- Lead programs with clear ownership, making sure timelines, actions, approvals, and deliverables are tracked and communicated well.
- Research and identify suitable venues, vendors, and partners based on budget, timing, and stakeholder needs.
- Prepare recommendations backed by research and present them to internal and client-facing stakeholders when needed.
- Handle negotiation, contracting, purchase orders, invoices, permit requests, vendor onboarding, compliance, and payment tracking.
- Monitor budgets closely and keep stakeholders informed of relevant costs, deadlines, and requirements.
- Coordinate across internal teams, venues, vendors, and partners to maintain alignment on roles, timing, and priorities.
- Provide day-to-day direction, support, training, and mentorship to team members or direct reports.
- Flag risks early, propose practical solutions, and escalate issues when needed to protect quality and efficiency.
Requirements
- Strong program management skills with the ability to organize complex workflows and juggle multiple priorities.
- Experience in venue sourcing, vendor management, catering, hospitality, and permit-related coordination is beneficial.
- Hands-on familiarity with contracts, payments, purchase orders, invoices, and budget tracking.
- Excellent collaboration and communication skills for working with varied stakeholders and personalities.
- Ability to lead, coach, and support others while staying calm, flexible, and solution-focused.
- Comfort with process-heavy work that demands accuracy, discretion, and accountability.
Benefits
The annual compensation range for this position is $57,000 to $67,000, with pay depending on experience.
Benefits include health, vision, and dental insurance; a 401(k); an employee stock purchase plan; vacation; personal days; and paid holidays.
