Overview
We are seeking a Project Coordinator to assist with a prominent event project based in California. This temporary contract role involves organizing schedules, aligning communications, and monitoring deliverables across diverse internal teams, consultants, sponsors, and event collaborators. The successful candidate will be detail-focused, proactive, and adept at managing various components to drive the event's success from initial planning through follow-up.
Key Responsibilities
- Oversee the established project timeline, monitoring deadlines, upcoming milestones, and pending action items.
- Maintain regular communication with staff, external partners, committee members, consultants, and volunteers to track progress and coordinate upcoming steps.
- Manage coordination of timelines, approvals, and deliverables with venue representatives, production vendors, marketing teams, designers, and other event partners.
- Assist in the creation and dissemination of event materials by organizing production schedules for collateral, digital assets, and communications.
- Help update website content and ensure acknowledgements and recognition materials are accurate and timely.
- Support partner commitment coordination, auction item follow-up, and preparation of materials for event fundraising activities.
- Assist in venue preparation, inventory of event supplies, conducting site visits, confirming vendor arrangements, and ensuring operational readiness pre-event.
- Contribute to on-site event management and post-event wrap-up, swiftly resolving issues and maintaining smooth logistical operations.
Qualifications and Skills
- Minimum one year of experience in project coordination, project support, or similar administrative roles.
- Strong capability to manage timelines, juggle multiple priorities, and maintain meticulous detail in a dynamic environment.
- Experience in supporting scheduling, tracking deliverables, and following through on action items involving multiple stakeholders.
- Excellent written and verbal communication skills for effective collaboration with vendors, consultants, and internal teams.
- Knowledge of project management methodologies including milestone tracking and simultaneous stream coordination.
- Proficiency with common office and collaborative software for documentation, scheduling, and progress reporting.
- Ability to manage event logistics, materials organization, and operational coordination throughout the event lifecycle.
