Role Overview
We are seeking a part-time Executive Assistant & Office Coordinator based in our Sydney office to provide essential administrative and coordination support to senior leadership and ensure smooth daily office operations. This is a 0.8 FTE onsite position, ideal for a candidate with a few years of administrative experience looking to thrive in a dynamic, growth-oriented workplace.
Key Responsibilities
- Manage senior leaders' calendars, schedule meetings, and deliver daily administrative support.
- Prepare presentations, reports, and various documents as needed.
- Organize meeting agendas, take notes, and follow up on action items.
- Handle travel arrangements and oversee expense processing for assigned executives.
- Manage incoming communications and coordinate prompt, professional responses.
- Serve as the primary contact for office visitors, building management, and general inquiries.
- Maintain office supplies and shared spaces, including kitchen upkeep, dishwasher, and coffee machine care.
- Coordinate deliveries, couriers, and manage daily mail.
- Oversee company car bookings and maintain related registers.
- Coordinate staff gifts, awards, and tokens of appreciation for stakeholders.
- Escalate facility issues and provide additional support as required.
- Assist in planning internal events such as leadership retreats, team lunches, and annual celebrations.
- Handle catering and logistics for meetings and small-scale events.
- Support occasional travel bookings including flights, accommodations, and car rentals.
- Collaborate with the People & Talent team on culture-driven activities and enhancing in-office experiences.
Candidate Profile
- Possesses 2-3 years of professional experience in administrative or coordination roles, preferably supporting senior leaders.
- Exhibits a proactive and dependable approach, anticipates needs, and takes initiative.
- Demonstrates excellent verbal and written communication abilities suitable for engaging diverse stakeholders.
- Has a keen eye for detail and can effectively prioritize tasks in a fast-paced environment.
- Exercises sound judgment handling confidential and sensitive information.
- Maintains a positive attitude and relishes the responsibility of keeping operations coordinated.
- Preferred qualifications include prior Executive Assistant experience and familiarity with technology or fast-growing SaaS companies.
