About the Organisation and Project
A central government agency in New Zealand is key to ensuring recognition and quality of qualifications nationally. The agency is currently undertaking a significant office relocation to foster modern, flexible, and digitally-enabled working environments.
Position Overview
We are seeking an experienced Project Coordinator to join the team responsible for the workspace transition. Reporting to the Project Manager, you'll oversee daily coordination and administrative support for this large-scale relocation, working across various project streams to maintain smooth operations, organized documentation, and informed stakeholders.
Key Responsibilities
- Organize project activities including meetings, workshops, and engagements with stakeholders
- Prepare agendas, minutes, action logs, reports, dashboards, and governance documents
- Maintain schedules, registers, records, risk and issue logs, and action trackers
- Support communications, create presentations, and keep stakeholders updated
- Assist in coordination with vendors, contractors, and logistics teams
- Contribute to workplace readiness and change management related to the relocation
- Ensure all project information and documentation adheres to organisational standards
- Provide general project administration and reporting assistance to the Project Manager and team
Candidate Requirements
- Demonstrated experience in project coordination, administration, or support roles
- Strong organizational skills with the capacity to handle multiple priorities simultaneously
- Experience in coordinating meetings, workshops, stakeholder engagement, and diverse project activities
- Excellent written and verbal communication capabilities
- High attention to detail and proficiency in reporting
- Skilled in maintaining project documents, records, registers, and reporting systems
- Advanced user of Microsoft Office suite, especially Excel, Word, PowerPoint, Teams, and SharePoint
- Ability to work independently while being a cooperative team member
Preferred Qualifications
- Experience in workplace relocation, change management, transformation, or organisational projects
- Background working within the public sector
- Familiarity with records and information management practices
- Understanding of Te Tiriti o Waitangi principles and the Māori worldview (te ao Māori)
Additional Information
- This is a fixed-term position concluding in February 2027
- Work 20-24 flexible hours weekly, with flexibility in start and finish times
- Hybrid working arrangement with 2-3 days required in the office, especially for workshops
- Salary range is $80,000 to $100,000 per annum pro rata, depending on experience
