About the Role
Greenberg Traurig (GT) is a global legal firm with offices in 15 countries worldwide. We are currently seeking a full-time Receptionist / Administrative Assistant for our Riyadh, Saudi Arabia office. This role will be based onsite, Sunday through Thursday from 9:00 a.m. to 6:00 p.m. The Receptionist / Administrative Assistant acts as the initial contact for clients and visitors, ensuring the firm presents a professional and inviting atmosphere. The ideal candidate is highly organized, detail-oriented, adept at multitasking, and skilled in maintaining smooth office operations while supporting a busy legal team.
Key Duties
- Serve as the welcoming face of the firm, ensuring guests have a positive and professional first impression.
- Manage reception duties including greeting visitors, managing immediate check-ins to maintain security, and handling incoming calls courteously.
- Provide high-level administrative assistance to attorneys, Managing Shareholders, and the Business Director, including scheduling, correspondence, travel coordination, expense management, and document preparation.
- Arrange transportation services for clients, including taxis and airport travel.
- Coordinate booking and setup of conference rooms, meetings, and firm events, including catering and facility preparation.
- Monitor and manage office supplies, coordinate with vendors, and oversee office purchasing and invoice processing.
- Maintain detailed records such as visitor logs, package tracking, mail operations, and office inventory.
- Assist with planning and support of internal communications, newsletters, events, and client functions.
- Liaise with building management and external service providers to ensure smooth office operations.
- Provide backup administrative support for executive and personal assistant duties as needed.
Required Qualifications and Skills
- Fluency in both Arabic and English, with excellent oral and written communication skills.
- Minimum of 3 years of experience in receptionist or administrative assistant roles within professional settings.
- Diploma, college degree, or equivalent educational background; additional certifications appreciated.
- Strong interpersonal skills coupled with a professional appearance and demeanor.
- Highly self-motivated, capable of working independently with minimal supervision.
- Exceptional attention to detail and strong organizational and time management skills.
- Proficient in Windows OS and Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
- Fast learner with flexibility to adopt new software and emerging AI technologies, including awareness of data privacy and ethical AI considerations in professional environments.
