The Contingent Labour Office (CLO) partners with business units to provide efficient and client-focused solutions for engaging external resources while balancing commercial goals and minimizing firm risk.

Role Functions

  • Utilize internal contingent workforce expertise to stay informed and skilled with market trends.
  • Serve as trusted advisors by educating stakeholders, challenging norms, and proposing creative resource engagement strategies.
  • Deliver a customer-first service by minimizing administrative burdens, anticipating needs, and building strong relationships with Hiring Managers.

This position reports to the National Leader of the CLO and involves managing the full lifecycle of external resource engagements across all Canadian locations and functions. The CLO handles over 1,000 external resources yearly ranging from individuals to large companies. The Contract Specialist supports operational excellence by improving internal procedures, technology utilization, and documentation.

Key Responsibilities

  • Advise and support Hiring Managers using technical knowledge to ensure effective external resource engagement.
  • Leverage technology to enhance CLO processes and resource management.
  • Contribute actively to process optimization and maintain up-to-date procedural documentation.
  • Promote and embody the CLO's brand through a client-centric approach and expert guidance.
  • Facilitate initial discussions with Partners and Senior Managers.
  • Provide training and walkthroughs for vendor management system usage.
  • Gather and analyze data for external resource setup and case management.
  • Perform required due diligence including background checks, history reviews, and business verifications.
  • Keep stakeholders informed about the progress of their cases.
  • Document details in shared systems for reporting, compliance, and auditing.
  • Identify and flag complex cases requiring additional attention.
  • Collaborate with team members to meet business demands.
  • Respond to general inquiries and direct requests appropriately.
  • Lead or assist in internal process improvement projects and change management.
  • Maintain standard operating procedures, forms, and knowledge base articles.
  • Ensure compliance with policies and educate relevant teams on process updates.
  • Stay informed on contingent workforce regulations and related practices.

Candidate Profile

  • 3 to 5 years experience in case management or related roles.
  • Background working with agencies, staffing, contract labor, or contingent workforce is advantageous.
  • Excellent communication abilities in English, with bilingualism (English/French) preferred.
  • Experience managing relationships with senior stakeholders, contractors, and subject-matter experts.
  • Strong attention to detail and accuracy.
  • Proven capability to handle high workloads with various complexities in fast-paced environments.
  • Organized with the ability to prioritize competing demands across multiple stakeholders.
  • Consistent in delivering high-quality and timely services.
  • Keen on driving continuous improvement and conducting impact assessments.
  • Successful track record in operational and process-driven initiatives.
  • Comfortable working with multiple technologies and identifying enhancements.
  • Experience with vendor management systems such as Flextrack or Beeline is a plus.
  • Advanced proficiency in Microsoft Office, particularly Excel.
  • Working knowledge of ServiceNow is beneficial.
  • Post-secondary education in a relevant discipline.

Additional Information

This role requires fluency in English for written and verbal communication and collaboration with English-speaking colleagues.

Location: Anywhere within Canada, with an option for remote work and occasional office visits (1-2 days monthly for meetings).

Salary Range: Between $55,000 and $82,000 annually, with potential for bonuses. Salary placement depends on location, skills, and qualifications. Comprehensive total rewards benefits offered.
