Overview
The role of Facility Executive involves overseeing housekeeping, pantry, and other soft services to ensure operational standards and client satisfaction. This position requires managing staff, maintaining hygiene compliance, and serving as a key contact for occupant concerns within the facility premises.
Key Responsibilities
- Oversee execution of all housekeeping, pantry, and soft service activities according to established standard operating procedures and schedules.
- Supervise daily deployment and performance of housekeeping and pantry personnel, ensuring punctuality, professional grooming, and discipline.
- Perform daily inspections of critical areas including restrooms, pantries, receptions, lobbies, and meeting rooms to uphold cleanliness and functional standards.
- Manage pantry operations, including beverage replenishment, maintaining cutlery hygiene, and ensuring upkeep of pantry equipment.
- Guarantee availability and operational status of consumables such as fragrance dispensers, tissue rolls, and hand soap across service locations.
- Conduct regular briefing and debriefing with housekeeping and pantry teams to align objectives and address issues.
- Maintain hygiene and cleanliness metrics consistent with client expectations and statutory health and safety regulations.
- Coordinate staff attendance, leave management, ID issuance, and exit formalities in collaboration with site administration.
- Facilitate ongoing staff training in cleaning techniques, personal protective equipment usage, customer service, and emergency protocols.
- Monitor discipline, conduct, and appearance of staff throughout their shifts.
- Enforce Environmental Health & Safety standards strictly in all soft service operations.
- Keep accurate records including checklists, attendance logs, stock inventories, and incident reports; communicate discrepancies to management.
- Prepare performance reports for soft services; assist in monthly MIS compilation and perform internal audits.
- Identify areas requiring improvement during audits and relay corrective measures to the team.
- Escalate unresolved or persistent issues to the client or facility management with recommended solutions.
- Ensure compliance with waste segregation and disposal protocols aligned with sustainability and facility policies.
- Act as primary liaison for employees and occupants regarding soft service inquiries or complaints.
- Respond swiftly to service issues, providing up-to-date feedback to clients on escalations, absenteeism, and service deficiencies.
- Maintain superior occupant satisfaction by delivering clean, safe, and well-maintained environments consistently.
Qualifications and Experience
- Graduation in Facility Management, Business Administration, Engineering, or a related discipline, or equivalent professional experience.
- 3 to 6 years of proven experience in facility management or supervising soft services.
- Strong organizational capabilities and the ability to effectively manage multiple tasks simultaneously.
- Familiarity with housekeeping practices, pantry service operations, and EHS compliance standards.
- Demonstrated leadership skills with ability to manage and motivate teams.
- Excellent communication and interpersonal skills for stakeholder interaction and team coordination.
- Proficiency with MS Office applications, reporting tools, and facility management software is preferred.
