Role Overview

The HR Systems Analyst will manage, support, and continuously improve HR systems and the workflows connected to them. This role acts as a cross-functional partner to HR Operations and other business teams, taking ownership of system administration, reporting, troubleshooting, testing, documentation, and process improvement. Compared with a coordinator-level role, this position is expected to work with greater independence, diagnose issues, suggest enhancements, and help build scalable and compliant HR processes.

This position is part of the HR Operations team and collaborates closely with Operations Specialists and Managers. UKG is the main HRIS, while Greenhouse is the applicant tracking system. The ideal candidate combines strong systems expertise with practical knowledge of HR operations, allowing them to recommend improvements that are efficient and workable in day-to-day use.

Key Responsibilities

  • Act as a lead analyst and go-to resource for HR platforms, especially UKG as the core HRIS and Greenhouse as the ATS.
  • Handle routine HR systems administration such as employee data updates, workflow assistance, troubleshooting, configuration changes, user access, maintenance tasks, and testing within approved controls.
  • Support reporting, data quality, and audit work by creating and checking recurring and ad hoc reports, maintaining strong knowledge of UKG BI reporting, and performing reconciliations and audits across connected systems and processes.
  • Assist with file transfers, integrations, mass uploads, and repeating system tasks tied to annual compensation cycles and other people-related programs.
  • Help manage and improve FreshService as the HR Operations ticketing tool, while responding promptly and thoughtfully to employees and internal partners who need system help or process clarification.
  • Support compliance and learning administration and reporting, including annual anti-harassment training in Docebo, and expand support to additional tools such as Quantum over time.
  • Create and maintain SOPs, process documentation, troubleshooting instructions, FAQs, and knowledge base articles so work is documented, repeatable, and not dependent on a single person.
  • Spot opportunities to streamline processes, improve systems, and automate manual work to enhance the employee experience and help HR Operations scale.
  • Lead or assist with adoption of AI by identifying real use cases, building agents or automations, and embedding scalable solutions into team workflows.
  • Work closely with HR Operations Specialists and Managers, along with IT, Payroll, Finance, Legal, HRBPs, Total Rewards, and Talent Acquisition, to solve issues and improve processes.
  • Bring forward new ideas, manage multiple priorities and projects, monitor system releases and best practices, and support reporting, audits, and operational initiatives as needed.

Qualifications

  • 3 to 5 years of experience in HR systems, HR operations, or people analytics, ideally in a fast-moving global setting.
  • Practical experience administering HR platforms and supporting employee lifecycle processes in a business environment.
  • Solid understanding of employee lifecycle workflows and the role HR systems play in supporting them.
  • Background in reporting, BI reporting, data validation, auditing, reconciliations, and issue resolution.
  • Experience with integrations, file feeds, bulk uploads, and meaningful system or workflow improvements.
  • Strong analytical, organizational, and problem-solving ability, with proficiency in spreadsheets and reporting tools.
  • Clear written and verbal communication skills, including the ability to explain technical ideas to non-technical audiences.
  • Ability to juggle multiple priorities, work independently, manage sensitive information carefully, and learn new systems quickly.
  • Bachelor’s degree in Human Resources, Business Administration, Information Systems, or a related discipline.

  • Hands-on UKG experience, including BI reporting; Workforce Management experience is a bonus.
