Job Overview
We are seeking an energetic Office Manager to supervise daily operations at our dental office, ensuring smooth employee and patient relations while driving achievement of key operational targets. This role encompasses managing profitability through efficient patient scheduling, staff oversight, collections, referral processes, and overall office expenses.
Key Responsibilities
- Meet revenue objectives by managing patient appointments, optimizing staff efficiency, overseeing collections and receivables, coordinating specialty referrals, and controlling miscellaneous operational costs.
- Operate the office within allocated budgets, including purchases of clerical and auxiliary supplies, equipment maintenance, lab services, and labor expenses.
- Enhance patient influx and productivity through strategic marketing and promotional initiatives.
- Recruit, hire, and nurture office teams to deliver exemplary patient care.
- Provide direct supervision, performance management, including feedback, appraisals, and corrective measures for office staff.
- Handle administrative duties accurately and punctually, including financial report reviews, bank deposits, revenue postings, payroll and bonus calculations, accounts receivable reports, and invoice processing.
- Maintain accurate patient records and ensure cleanliness and safety compliance of office facilities and equipment per relevant regulations.
- Address grievances and inquiries from doctors, patients, and employees, seeking assistance as necessary.
Candidate Requirements
- Possess 3 to 5 years of experience in managing dental practices.
- Demonstrate effective resolution skills for customer and staff concerns.
- Track record of goal setting and successfully motivating teams toward targets.
- Experience in talent identification, development, and retention.
- Excellent communicator, able to convey information clearly in verbal and written form to staff and doctors under varying circumstances.
- Ability to analyze office financial data and respond proactively.
- Commitment to continuous improvement in supervisory skills, processes, and customer service.
- Accountability in setting expectations and monitoring goals for self and team.
- Familiarity with billing procedures and treatment case presentations is advantageous.
- Minimum education: High school diploma or GED; Associate degree preferred.
