Sony Music is hiring a highly organised, forward-thinking, and adaptable Personal Assistant & Team Coordinator to support the PDEGO executive leadership team in the UK office. This position blends senior-level executive support, office administration, and early-stage people and culture coordination. The successful candidate will act as a dependable, discreet, and highly trusted partner for the team, while also helping foster a positive workplace culture.

PDEGO stands for Product, Design, Engineering, and Global Operations. This cross-functional group develops innovative solutions in areas such as AI, analytics, fan engagement, and supply chain logistics so that Sony Music artists’ releases can be delivered smoothly around the world.

Executive support and expenses

  • Deliver high-quality administrative support to the PDEGO executive leadership team, staying ahead of needs, managing follow-through, and handling sensitive situations with complete confidentiality.
  • Own calendar coordination for the leadership team, resolving clashes proactively and making sure meetings across multiple time zones run smoothly with all logistics in place.
  • Capture clear, concise meeting notes when required.
  • Arrange complex travel across the UK and internationally, including itineraries and accommodation.
  • Process expenses and monthly T&E reports in Concur, pay department invoices, and reconcile AMEX Travel Statements.
  • Assist with leadership initiatives such as internal surveys, presentation decks, company-wide updates, and other ad hoc projects.

Office management and team coordination

  • Act as the main day-to-day contact for office queries, facility requests, and general workplace support from the wider team.
  • Manage office supplies and ordering needs, including IT equipment, snacks, and general stock so the workplace operates efficiently.
  • Maintain office floor plans and seating arrangements.
  • Work with internal teams to make sure UK new starters are fully set up, including welcome communication, first-day coordination, badge access, laptop and desk setup, new system access, and a full office tour.
  • Coordinate timely new-hire check-ins with the People Experience Business Partner, along with exit interviews and other related meetings.

Events and culture

  • Support and help lead culture-building efforts that contribute to an inclusive, energetic, and collaborative environment.
  • Plan and deliver internal events, town halls, off-sites, celebrations, and networking sessions from initial concept through execution.
  • Partner with support teams in other countries to coordinate global events such as the Global Summit.
  • Help with office coordination linked to people programmes and local culture initiatives.
