About the Role
We are seeking a dedicated Project Coordinator to join our team in Guelph, Ontario. This full-time position requires working onsite with occasional travel to job sites. You will report directly to the VP of Corporate Services and be responsible for overseeing restoration projects from inception through to completion. Your role will be pivotal in ensuring projects run smoothly, remain on schedule, and meet client expectations while maintaining clear communication with all stakeholders.
Key Responsibilities
- Act as the main liaison for clients throughout all phases of restoration projects, maintaining proactive communication and ensuring clients feel informed and supported.
- Manage project timelines, schedules, milestones, and updates while coordinating tradespeople, subcontractors, and suppliers efficiently.
- Schedule inspections and project activities, addressing scheduling conflicts promptly and escalating risks that could impact deliverables or customer satisfaction.
- Maintain detailed project documentation including approvals, authorizations, and closeout records to support seamless project execution.
- Monitor budgets and track committed costs, facilitating billing documentation, change orders, and supporting timely invoicing and collections to ensure financial targets are met.
- Provide leadership with regular and accurate project status updates, escalating any concerns related to customers, finances, or operations and suggesting improvements to coordination processes.
Required Qualifications and Skills
- Two to five years of experience in project coordination, ideally within restoration, construction, property management, insurance, or similarly fast-paced client-focused environments.
- Strong organizational abilities and time management skills, adept at juggling multiple projects and deadlines simultaneously.
- Excellent verbal and written communication skills with a customer-centric focus and the ability to foster positive relationships with clients, internal teams, and subcontractors.
- Critical thinking and problem-solving aptitude, capable of foreseeing challenges and adapting to changing priorities with sound judgment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel); familiarity with restoration-specific software such as PSA, Encircle, or Xactimate is beneficial.
- Meticulous attention to detail to ensure all project documentation, schedules, and records are precise and current.
- Valid driver's license and willingness to travel to various job sites as needed.
- Post-secondary education in Business, Construction Management, Project Management, or related fields preferred but not mandatory; equivalent education and experience combinations are accepted.
Compensation and Benefits
