Role Overview
We're seeking a Receptionist/Administrative Assistant to maintain smooth office operations and create a welcoming, professional atmosphere for visitors, partners, and staff. This role is ideal for a detail-oriented, proactive individual who excels in a fast-moving, mission-focused workplace.
Responsibilities
- Welcome and assist visitors, clients, and vendors with professionalism and warmth
- Handle incoming calls, emails, and general inquiries by directing them appropriately
- Organize scheduling, coordinate meetings, and manage conference room bookings
- Assist with travel planning, logistics, and expense documentation for employees
- Manage office supplies, equipment upkeep, and workspace organization
- Support document preparation, filing, and internal communications
- Aid HR and operations in onboarding new hires and maintaining company records
- Liaise with vendors, building management, and service providers
- Contribute to planning and executing company events, meetings, and administrative projects
Qualifications
- High school diploma mandatory; Associate's or Bachelor's degree desirable
- Minimum of 3 years experience in office administration, reception, or executive support, preferably in startup or tech environments
- Strong verbal and written communication skills with excellent interpersonal abilities
- Meticulous attention to detail coupled with robust organizational and time management skills
- Proficiency in Microsoft Office and Google Workspace including Docs, Sheets, and Calendar
- Ability to juggle multiple tasks, prioritize effectively, and adjust to evolving requirements
- Positive demeanor, professionalism, and discretion in managing confidential information
- Dependable, punctual, and comfortable as the initial contact point for a dynamic team
