Role Overview
This position supports the Chief Investment Officer and helps the wider team stay organized and efficient. It is suited to someone who enjoys creating structure from complexity, handling details carefully, and building systems that help others work at their best. The role offers direct exposure to leadership and to commercial real estate investing and development.
What You Will Do
- Keep the CIO’s schedule organized by coordinating meetings, appointments, and internal team calendars.
- Arrange meetings with investors, lenders, vendors, consultants, and coworkers.
- Handle the setup for meetings, including conference rooms and virtual meeting tools.
- Draft and prepare business correspondence, reports, presentations, and other documents.
- Maintain orderly digital and paper filing systems for investment and project records.
- Prepare agendas, reference materials, and presentation packets for meetings.
- Take notes during meetings when needed and track follow-up tasks.
- Manage incoming communications and prepare standard replies as required.
- Act as a polished and professional contact point for internal teams and outside stakeholders.
- Protect confidential investment, financial, and project information.
- Support events, training sessions, and other special assignments.
- Help maintain contact lists, project tracking tools, and other administrative resources.
Success Metrics
Within the first year, the successful candidate is expected to become a dependable partner to the CIO, improve team organization through efficient systems, keep meetings and records consistently well managed, anticipate administrative needs early, and develop strong cross-functional relationships while preserving confidentiality and professionalism.
Qualifications
- An associate degree is preferred; a bachelor’s degree in Business Administration or a related discipline is an added advantage.
- At least 2 to 4 years of experience in administrative support, office management, or a similar role.
- Confidence using Microsoft Office tools such as Outlook, Excel, Word, and PowerPoint, along with Google Workspace.
- Strong organization, time management, and multitasking abilities.
- Clear written and verbal communication skills.
- Excellent attention to detail and the ability to juggle several priorities at once.
- A consistent ability to handle sensitive information with discretion and professionalism.
- Background supporting finance, real estate, investment, or professional services teams is preferred.
Compensation and Benefits
The company offers pay that is competitive and aligned with experience and qualifications. The listed annual pay range is USD 45,000 to USD 55,000.

Work Location
This is an onsite position based at the Government Street Office in Pensacola, Florida.
