We are looking for a highly organized, strategic, and proactive Executive Assistant to support a Senior Vice President and their leadership team within our Services organization located in Pune. This role demands exceptional business judgment, the ability to prioritize multiple tasks in a dynamic global environment, and excellent communication skills. The Executive Assistant will function as a critical extension of the executive office, enhancing productivity, facilitating communication, and supporting key initiatives.
Key Responsibilities
- Efficiently manage complex executive calendars, accommodating multiple time zones and resolving scheduling conflicts to maximize executive availability.
- Arrange and oversee both domestic and international travel plans including preparation of detailed itineraries, meeting agendas, and briefing materials.
- Provide support for executive involvement in leadership meetings, board reviews, town halls, and customer engagements.
- Handle executive expense reporting and administrative tasks diligently.
- Collaborate with the executive to monitor strategic priorities, track actions and commitments, and drive follow-up on leadership decisions to ensure timely implementation.
- Coordinate key business reviews, talent discussions, and planning activities, assisting with presentations, reports, dashboards, and communications.
- Act as the main liaison point for internal and external stakeholders, facilitating clear communication across leadership and business partners.
- Organize leadership meetings, off-sites, workshops, and corporate events including logistical coordination for global virtual and in-person meetings.
- Assist in the planning and execution of organizational initiatives, tracking milestones and coordinating cross-functional activities.
- Maintain confidentiality with utmost discretion, support onboarding and organizational changes, and continuously seek process improvements for operational efficiency.
Required Qualifications and Experience
- Bachelor’s degree or an equivalent level of experience.
- Over 5 years of professional experience providing executive support to senior-level leaders such as VPs or SVPs.
- Proven ability to manage complex calendars and interact with global stakeholders effectively.
- Strong skills in organization, project coordination, presentation creation, report preparation, and executive communication.
- High proficiency in Microsoft 365 applications including Outlook, Teams, PowerPoint, Excel, Word, and Copilot.
- Exceptional attention to detail and capacity to handle several priorities simultaneously.
- Sound judgment and ability to safeguard sensitive and confidential information.
Corporate Security Responsibilities
- Adhere strictly to Mastercard’s security policies and procedures.
- Maintain confidentiality and integrity of all accessed information and assets.
- Promptly report any suspected security breaches or violations.
- Complete all mandatory security training as required by Mastercard guidelines.
