Overview
The Facilities Manager plays a crucial role in overseeing the efficient upkeep, management, and operation of the corporate office environment. This position ensures a secure, productive, and well-maintained workspace that aligns with the company’s standards and supports employee productivity.
Key Duties
- Manage daily building operations including cleaning, HVAC, electrical systems, plumbing, and general maintenance tasks.
- Establish and oversee preventive maintenance plans for office infrastructure and equipment.
- Direct on-site facilities personnel and coordinate with external vendors to maintain smooth building functionality.
- Ensure adherence to corporate policies, all relevant building codes, health and safety laws, and environmental standards.
- Conduct routine safety inspections, audits, and risk assessments to secure a safe work environment.
- Maintain detailed records of safety protocols, compliance documentation, and incident reports.
- Optimize office space usage and seating plans to enhance operational efficiency and employee comfort.
- Manage office refurbishments, modifications, and relocations minimizing disruptions to work.
- Collaborate on workplace design projects that align with organizational culture and hybrid working models.
- Oversee vendor contracts and relations involving security, housekeeping, catering, pest control, and other services.
- Evaluate vendor performance against service-level agreements and ensure financially prudent service delivery.
- Identify and onboard new vendors to uphold quality while optimizing costs.
- Prepare and monitor annual facilities budgets covering utilities, maintenance, and capital investments.
- Analyze expenses and propose cost-saving and process efficiency measures.
- Lead sustainability efforts aimed at energy conservation and environmental impact reduction including waste management and recycling programs.
- Track and report sustainability metrics ensuring alignment with corporate Environmental, Social, and Governance (ESG) objectives.
- Develop emergency and business continuity plans including evacuation procedures.
- Coordinate safety drills, first aid, and health training for employees.
- Serve as the main contact during emergencies or critical building incidents.
Qualifications & Experience
- Bachelor’s degree in Facilities Management, Engineering, Business Administration or related disciplines.
- Strong expertise in building systems, safety protocols, and maintenance standards.
- Knowledge of local building regulations and occupational health and safety legislation.
- Professional certifications such as IFMA CFM, BIFM, NEBOSH or IOSH are advantageous.
