Position Summary
The Operations Specialist is vital to both driving revenue and ensuring smooth operational processes. Responsibilities include coordinating freight loads, dispatching drivers, ensuring compliance with FMCSA regulations, managing accounts receivable and payable, and enhancing customer satisfaction. The ideal candidate thrives under pressure, pays meticulous attention to detail, and is committed to achieving daily results.
Key Responsibilities
- Effectively assign freight loads to company drivers considering availability, hours-of-service (HOS), and route efficiency.
- Monitor delivery status and communicate timely updates to customers.
- Adapt schedules based on factors such as traffic, weather, or operational needs.
- Handle onboarding for new drivers including owner-operators, company drivers, and lease-to-own arrangements.
- Maintain clear and consistent verbal communications with drivers to confirm details.
- Oversee fleet maintenance by tracking inspections, preventive maintenance tasks, and DOT compliance.
- Keep driver and truck documentation current using systems like TenStreet and FMCSA databases.
- Coordinate and record repairs and safety inspections.
- Engage in quoting, bidding, and booking freight jobs from customers, brokers, and forwarders.
- Build and sustain strong customer relationships through quality communication.
- Respond promptly and professionally to freight-related issues or delays.
- Ensure acceptance or rejection of freight is properly documented and communicated.
- Manage and verify delivery documentation including proof of delivery (POD) with required signatures.
- Maintain dispatch logs, vehicle maintenance records, and key performance indicators (KPI) tracking.
- Issue invoices on the day freight is delivered without exception.
- Deliver weekly driver settlement reports by Wednesday noon to ensure timely Friday payments.
- Handle accounts receivable and accounts payable, ensuring collections within net 30-day terms.
- Monitor and maintain driver compliance with hours-of-service regulations and FMCSA rules.
- Lead safety documentation management and prepare for compliance audits.
- Optimize routing to minimize non-revenue miles and improve fleet profitability.
- Guarantee that each trip is profitable while adhering to driver regulations.
- Collaborate with dispatch teams to balance fleet workloads effectively.
Qualifications and Experience
- A minimum of two years’ experience in transportation operations, dispatch, or third-party logistics brokerage.
- Prior involvement with asset-based freight or logistics operations is essential.
- Proficiency in transportation management software such as Alvys, McLeod, or Rose Rocket.
- Sound knowledge of Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and hours-of-service compliance standards.
- Exceptional phone and email communication skills with strong attention to detail and organizational abilities.
- Demonstrated capability in sales of freight services and securing new business confidently.
- Ability to perform well in fast-paced, high-pressure logistics environments.
- Familiarity with Microsoft Office, QuickBooks, and GPS tracking technologies.
- A proactive, positive attitude coupled with a commitment to delivering excellence.
- Preferred personal characteristics include calmness under pressure, responsiveness, decisiveness, teamwork orientation, and strong relationship-building skills with customers, drivers, and vendors.
Physical Requirements and Availability
- Willingness to work flexible hours including evenings and nights, as necessary.
- Availability for emergency on-call situations when trucks are operating.
- Occasional local travel to meet drivers or inspect equipment.
- Participate in occasional meetings with clients.

- This is a remote role with a preference for candidates based in or near Charleston, South Carolina, or the Southeastern region.
