Role Overview - Procurement Assistant
The Procurement Assistant will provide both administrative and operational support within our procurement and logistics teams, focusing on the infrastructure construction sector. This includes helping with sourcing materials and services, maintaining procurement records, and liaising with suppliers to ensure efficient and cost-effective acquisitions. This role demands strong administrative capabilities, meticulous attention to detail, and the capacity to thrive in a dynamic setting.
Key Responsibilities
- Support vendor identification, pre-qualification, and document preparation processes.
- Keep procurement and logistics documentation up to date, including contracts, purchase orders, and supplier correspondence.
- Assist in developing and tracking reports and key performance indicators (KPIs).
- Help draft communications with stakeholders, including clients.
- Support the issuance and management of RFQs, purchase orders, and tender packages.
- Coordinate with suppliers to verify order specifics, monitor deliveries, and address discrepancies.
- Track supplier performance and aid in resolving any issues.
- Collaborate with Accounting to resolve procurement billing matters, ensuring invoice accuracy against purchase orders.
- Work with Cost Control to ensure expenses are properly recorded and classified per project specifications.
- Adhere to procurement policies, regulatory standards, and company guidelines.
- Provide general administrative assistance such as filing, data entry, and reporting.
- Participate in Working Group meetings as necessary and assist with meeting minute documentation.
- Perform other related duties as assigned.
Required Qualifications and Skills
- Diploma or Bachelor’s degree in Business Administration, Supply Chain Management, or a related discipline.
- Between 1 to 3 years of experience in procurement or supply chain roles, ideally within construction.
- Highly organized with a keen eye for detail and precision.
- Proficient with Microsoft Office tools (Excel, Word, Outlook); familiarity with procurement or ERP software such as SAP is desirable.
- Strong communication and interpersonal abilities to collaborate effectively with suppliers and team members.
- Capable of managing multiple priorities in a fast-paced environment.
- Basic understanding of procurement principles, contract management, and supplier relations.
- Professional certifications like Certified Professional Purchaser (C.P.P.) or Certified Supply Chain Management Professional (CSCMP) are advantageous.
- Previous experience using procurement software (e.g., SAP) is preferred.
