Position Summary
We are seeking a dedicated Remote Data Entry Specialist to join our Operations Support team in a full-time remote capacity. This vital role involves ensuring the precision and integrity of company records by accurately entering, updating, verifying, and maintaining data across various business systems. The ideal candidate is well-organized, detail-focused, and capable of working independently in a dynamic environment.
Primary Responsibilities
- Accurately input, revise, and preserve information in company databases, spreadsheets, and internal platforms.
- Examine documents for completeness and accuracy before data entry.
- Confirm data integrity by comparing original documents with system records; resolve discrepancies as needed.
- Process sensitive information relating to customers, employees, vendors, shipments, and operations while upholding confidentiality.
- Organize digital files and maintain precise records in line with company protocols.
- Compile reports, spreadsheets, and data summaries upon departmental requests.
- Monitor data quality by detecting errors, inconsistencies, and duplicates.
- Coordinate with internal teams to obtain missing or corrected data.
- Document completed tasks and consistently achieve productivity and accuracy benchmarks.
- Assist with scanning, electronic filing, and managing records projects.
- Conduct routine data audits to ensure system-wide accuracy.
- Support various administrative and operational initiatives as assigned.
- Adhere to company policies on confidentiality, security, and data protection.
- Manage multiple priorities effectively, meeting deadlines with minimal oversight.
- Engage in training and continuous process improvements.
- Maintain professionalism and accuracy when handling confidential company and customer data.
Required Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Information Management, or related fields preferred.
- Prior experience in data entry, administrative support, office administration, record keeping, or clerical roles is advantageous.
- Proficient typing skills with a minimum speed of 50 words per minute and strong accuracy.
- Excellent detail orientation and exceptional organizational capabilities.
- Skilled in Microsoft Office 365 applications including Excel, Word, Outlook, and Teams.
- Experienced in working with spreadsheets, databases, and online business tools.
- Ability to detect and correct data inconsistencies independently.
- Strong verbal and written communication skills.
- Effective time management and ability to juggle multiple tasks.
- Recognized ability to maintain strict confidentiality with sensitive information.
- Dependable high-speed internet and a dedicated home office environment suitable for remote work.
- Capable of working autonomously with collaborative team interaction.
Preferred Skills
- Familiarity with ERP systems or database management software.
- Background in transportation, logistics, warehousing, or supply chain sectors.
- Knowledge of document management and electronic record retention systems.
- Experience with Microsoft SharePoint, Adobe Acrobat, or equivalent document management platforms.
- Understanding of customer relationship management (CRM) software.
Work Environment and Schedule
This position is fully remote. Employees must maintain a professional and secure home workspace with stable high-speed internet and appropriate equipment to support daily responsibilities. The work schedule is Monday through Friday with standard business hours, occasionally requiring overtime during month-ends, special projects, or peak periods.
