Job Overview and Responsibilities
The role involves warmly welcoming guests upon their arrival at the office, guiding them to the correct person or department, and managing incoming phone calls by answering, screening, and routing them appropriately.
Maintaining the reception area in a neat and professional condition is essential, ensuring all necessary stationery and materials like pens, forms, and brochures are readily available. Providing accurate and basic information both in person and over the phone is required.
Additional tasks include receiving, sorting, and distributing mail and deliveries daily, as well as upholding office security by adhering to safety protocols and controlling access through the reception desk, including monitoring logbooks and issuing visitor badges.
Inventory management is part of the role, keeping track of front office supplies and notifying when stock is low. Updating calendars, scheduling meetings, and performing clerical duties such as filing, photocopying, and transcription also form part of the responsibilities.
Candidate Requirements
- Previous experience as a Receptionist, Front Office Representative, or in a related role is desirable but not mandatory.
- Familiarity with Microsoft Office applications.
- Practical experience using office machines like printers.
- A professional demeanor and polished appearance are necessary.
- Strong verbal and written communication abilities.
- Resourcefulness and a proactive approach to problem-solving.
- Excellent organizational skills with the capacity to multitask and prioritize effectively.
- A customer-oriented attitude is essential.
