Role Overview

We are seeking a warm, organized, and proactive Administration Assistant to become the heart of Ochre Dawn's daily operations. This dynamic position involves a blend of administrative tasks, client service, sales assistance, and general support throughout the business. Duties vary day-to-day and include preparing quotes, welcoming visitors, following up with suppliers, organizing meetings, and ensuring the office maintains its unique and welcoming atmosphere.

Primary Responsibilities

  • Serve as the welcoming first contact for clients, visitors, artists, and suppliers, creating an inviting and genuine experience.
  • Maintain the office and communal areas to ensure they are tidy, organized, well-presented, and reflective of Ochre Dawn's distinct charm.
  • Manage office supplies and amenities to support smooth daily operations.
  • Provide practical and administrative aid to team members, helping them stay organized and track priorities.
  • Coordinate meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Maintain comprehensive files, databases, and business records.
  • Recognize when support is needed and proactively offer solutions with a positive approach.
  • Respond to emails, phone calls, and client inquiries with warmth and professionalism.
  • Assist in drafting accurate quotes, proposals, and client presentations.
  • Manage client and sales opportunity information within the CRM system.
  • Follow up on client inquiries, quotes, orders, and pending tasks to ensure responsiveness and care.
  • Conduct basic research to assist in sales and business development efforts.
  • Facilitate smooth communication between teams, clients, and suppliers to keep projects and orders progressing efficiently.
  • Track estimated completion and delivery dates and keep clients informed of order status.
  • Coordinate logistical details such as deliveries and collections.
  • Maintain up-to-date notes and records in organizational systems.
  • Follow up on outstanding information and actions to ensure timely project completion.

Candidate Profile

The ideal candidate does not need prior experience in every aspect of this role but must exhibit warmth, dependability, excellent organizational skills, and a willingness to learn. Desired qualities include:

Experience in administrative, reception, client service, or sales support roles is highly preferred. Knowledge of creative, design, branding, professional services, or product-based environments is advantageous but not essential. Appreciation or understanding of First Nations cultures and communities, or a willingness to listen and learn respectfully, will be valued.
