About The Role

The Administrative Assistant for Regional Markets is instrumental in providing support to the Chief Regional and Market Officer (CRMO) and the Regional and Market Leadership (RML) team. This role is vital for ensuring the seamless and efficient functioning of the leadership team by managing intricate administrative duties, coordinating projects, and facilitating interdepartmental and inter-regional communication. The ideal candidate will possess outstanding organizational capabilities, strong communication skills, and a dedication to equity, diversity, and inclusion. They will handle confidential information discreetly, exercise independent judgment, and demonstrate a proactive problem-solving approach. Responsibilities

  • Provide comprehensive administrative support to the CRMO, including managing their calendar, coordinating emails, and prioritizing tasks.
  • Assist in the management of complex projects by maintaining work plans, monitoring deadlines, and supporting the creation of reports.
  • Coordinate the logistics for team meetings and events, encompassing scheduling, preparing materials, taking minutes, and managing follow-up actions.
  • Maintain precise records of stakeholders, vendors, and financial transactions, including data entry and database upkeep.
  • Process expense reports, prepare invoices, and support financial reconciliation processes.
  • Organize operational support functions such as facilitating the onboarding of new team members, managing shared calendars, and enhancing communication channels.
  • Contribute innovative ideas to enhance team processes and workflows.
  • Support the development and execution of professional development plans for team members.
  • Champion and embody the principles of equity, diversity, and inclusion in all work activities.
  • Actively participate in EDI events and learning opportunities to cultivate an inclusive work environment.

Qualifications

  • Possession of a Bachelor's degree or a comparable combination of education and professional experience.
  • A minimum of 1 to 3 years of experience in administrative functions or project management.
  • Proficiency in the Microsoft Office Suite, Dynamics365, and SharePoint.
  • Excellent written and verbal communication abilities.
  • Demonstrated capacity to manage multiple priorities effectively and meet established deadlines.
  • Prior experience within the nonprofit, community development, finance, or real estate sectors is advantageous.
  • Readiness to travel regionally as needed.
  • Availability for occasional work during evenings and weekends.
