About the Role
The Medical Review Administrative Coordinator plays a crucial role in supporting HQSI’s Medical Review Services department. This position involves performing key administrative tasks related to case intake, processing, assignment, review, and finalization. The role is essential for maintaining accurate and efficient case processing and ensuring a smooth operational flow within the department. Responsibilities include managing documentation, overseeing case progression, and handling both internal and external customer service interactions. This is a remote position, with the potential for occasional on-site duties as business needs evolve. The role is salaried and non-exempt, with an annual compensation of $55,000 for a standard 40-hour workweek.
Qualifications
- A high school diploma or GED is the minimum requirement; further college coursework or vocational training is advantageous.
- A minimum of three years of experience in a healthcare office environment, such as health insurance, a physician's office, hospital, or outpatient facility.
- Proficiency in the Microsoft Office Suite, including Word, Excel, Outlook, and Adobe applications.
- Prior experience with document and project management software.
- Familiarity with medical terminology and healthcare compliance standards like HIPAA/HITECH.
- Demonstrated strong organizational abilities and the capacity to manage multiple tasks effectively.
- Excellent written and verbal communication skills.
- The ability to work productively in both remote and office settings.
- Previous experience in customer service, case management, or administrative functions within the healthcare sector.
Responsibilities
- Processing incoming paper charts through scanning and logging; extracting and transferring electronic charts into the designated system.
- Evaluating and converting submitted cases within the document management system, verifying the completeness and accuracy of all documentation.
- Assigning cases to Non-Physician Reviewers (NPRs), Physician Reviewers (PRs), and other allied healthcare professionals.
- Monitoring the progress of tasks and case reviews to ensure timely completion.
- Drafting final determination letters and meticulously proofreading and formulating final documents for approval.
- Tracking the reception and finalization of Conflict of Interest statements from all reviewers.
- Generating and analyzing reports to effectively manage workflow, case volumes, and the allocation of resources.
- Providing support for credentialing activities and assisting with physician recruitment outreach as required.
- Managing multiple email inboxes and handling correspondence efficiently.
- Supporting documentation and case tracking procedures, ensuring strict adherence to confidentiality protocols.
