Role Summary

The Assistant Project Coordinator plays a critical role supporting the Project Management Department by organizing and overseeing tasks spanning internal teams and outside vendors. The individual ensures that project directives from Sales and other departments are accurately fulfilled on schedule. This role demands excellent communication skills, an aptitude for managing numerous concurrent activities with meticulous attention to detail, and a proactive mindset to maintain workflow efficiency and project momentum.

Key Responsibilities

  • Assist in defining objectives, timelines, and outputs for projects
  • Monitor project progress, key milestones, and deviations
  • Detect potential risks or challenges early and notify relevant parties
  • Track issues until resolved and keep comprehensive records
  • Provide support to internal teams such as Sales and Business Development for project-related queries
  • Deliver prompt and clear responses to both internal and external communications including client questions
  • Facilitate cross-department communication to ensure coordination and consistency
  • Maintain accurate project documentation and records within the Monday.com platform
  • Promote adherence to established workflows on Monday.com and aid in enhancing platform consistency and accountability
  • Participate in meetings associated with creative and product development initiatives, maintaining accurate notes and follow-up items
  • Support the delivery of project assets to stakeholders and assist in gathering feedback and approvals to advance projects

  • Self-driven, resourceful, and collaborative work style
  • Familiarity with Monday.com is beneficial but not mandatory
