Role Overview

The People and Experience (PET) Associate plays a pivotal role in managing daily administrative tasks with precision, ensuring thorough and accurate handling of employee data within platforms such as HiBob, Moore Payroll, ClickUp, and Greenhouse. This position oversees documentation including contracts, reference letters, promotion and termination communications, and acts as an ambassador throughout the employee lifecycle from onboarding to exit processes.

Responsibilities

  • Maintain flawless accuracy in all PET administrative databases and systems.
  • Prepare and manage employee-related documents like contracts, reference letters, and leaver communications.
  • Champion the employee experience across all stages, from joining to leaving the company.
  • Provide prompt and effective responses to routine people-related inquiries from employees.
  • Generate and interpret reports, identifying key insights for management and the People team.
  • Assist the People Operations team with system maintenance and administrative duties.
  • Collaborate with Finance to process monthly payroll inputs and manage PET invoices.
  • Offer administrative assistance in employee relations matters, including note-taking and drafting letters.
  • Manage and report on absence and holiday tracking.

Candidate Profile

  • Highly detail-oriented with excellent organizational, prioritization, and multitasking abilities.
  • Adaptable and comfortable in a fast-changing, dynamic work environment.
  • Strong team player with positive interpersonal and communication skills.
  • Committed to handling confidential data with integrity and discretion.
  • Fluent in English (spoken and written); knowledge of additional languages or European country experience is advantageous.
  • Proactive and solution-focused with the ability to take initiative independently.
  • Task-driven and efficient in managing to-do lists and project completion.
  • Passionate about fostering superior employee experiences emphasizing performance, rewards, and wellbeing.

  • Previous experience in a media/creative agency or start-up environment (including internships) is beneficial but not mandatory.
  • Proficient with G-Suite applications (Gmail, Calendar, Drive, Docs, Sheets) and Microsoft Office (Word, Excel, PowerPoint).
