About the Role
The Employee Onboarding Executive will oversee the complete onboarding procedure for new hires assigned to client sites, ensuring smooth documentation, background verification, and compliance with all client and statutory requirements.
Key Duties
- Collaborate with recruiters to obtain details of selected candidates.
- Communicate with candidates to clarify onboarding steps.
- Gather and validate necessary documents such as identification (Aadhaar, PAN), educational certificates, bank details, photographs, and prior employment proofs.
- Ensure all onboarding paperwork is accurate and complete.
- Organize background verification processes when applicable.
- Draft appointment letters, contracts, and joining formalities documents.
- Register employees in HRMS and payroll systems.
- Liaise with client HR teams for onboarding approvals and joining procedures.
- Arrange induction and orientation sessions for new joiners.
- Maintain both physical and digital employee records.
- Monitor joining progress and update internal MIS reports accordingly.
- Ensure adherence to labour laws and statutory norms.
- Coordinate with payroll and operations to activate employees in the system.
- Address onboarding-related queries from candidates and clients.
- Strictly maintain confidentiality of employee data at all times.
Skills and Qualifications
- Strong communication and interpersonal skills.
- Familiarity with staffing and recruitment procedures.
- Understanding of labour law compliance and importance of statutory documentation.
- Proficient in MS Excel, Word, and Outlook applications.
- Experience with HRMS or ATS software is advantageous.
- Excellent organizational, documentation, and follow-up skills.
- Ability to manage deadlines efficiently.
- Bachelor's degree in any field; MBA or PGDM in HR preferred.
- One to four years work experience in onboarding, HR operations, or staffing; experience with manpower consultancy is a bonus.
