About the Role

The Client Care Coordinator & Administrator plays a crucial role within our healthcare team in the Greater Toronto Area, ensuring clients receive seamless support by managing inquiries, coordinating care services, handling appointment scheduling, and providing essential administrative assistance. Acting as the primary liaison for clients and collaborating closely with clinical and operational teams, this position guarantees high-quality service delivery and exceptional client satisfaction.

Primary Responsibilities

  • Respond promptly and professionally to incoming client calls and inquiries.
  • Manage and arrange client care schedules and appointments effectively.
  • Serve as the main point of contact for clients and their families concerning service requests and updates.
  • Collaborate with Registered Nurses (RN), Registered Practical Nurses (RPN), Personal Support Workers (PSW), and Clinical Advisors to facilitate timely and appropriate care delivery.
  • Maintain precise client records, schedules, and all related documentation.
  • Communicate any schedule modifications, cancellations, or updates regarding services promptly.
  • Handle general administrative duties including data entry, document filing, and managing correspondence.
  • Coordinate with external partners, vendors, and service providers whenever necessary.
  • Conduct follow-ups with clients to ensure satisfaction, address concerns, or escalate issues as required.
  • Ensure confidentiality of all client information in line with organizational protocols and privacy laws.
  • Support daily office operations and undertake additional administrative tasks assigned.

Qualifications and Competencies

  • Possess a Diploma or Bachelor's degree in Business Administration, Healthcare Administration, or a related discipline.
  • Have 1 to 3 years of relevant experience in customer service, administrative support, healthcare coordination, or home care services.
  • Exhibit excellent written and verbal communication skills.
  • Demonstrate strong organizational aptitude, ability to multitask, and problem-solving skills.
  • Be proficient with Microsoft Office suite and scheduling or CRM software.
  • Previous experience in healthcare or home care industries is advantageous.
  • Display competencies including client service excellence, effective care coordination, interpersonal communication, time management, attention to detail, problem-solving, teamwork, professionalism, and confidentiality.
