Role Overview
We are searching for a highly organized, proactive Construction Coordinator to oversee planning, scheduling, and execution across multiple commercial playground and water park projects. This position acts as the central hub for managing logistics such as materials, equipment, crews, and documentation to ensure efficient progress on various active job sites.
Key Responsibilities
- Maintain daily and weekly project schedules ensuring optimized deployment of crews, equipment, and materials across active projects.
- Collaborate with the Project Manager and Director of Contracts to prepare, distribute, track, and manage change orders and contractual documents.
- Serve as the main liaison for suppliers and material vendors by confirming orders, monitoring deliveries, and resolving shortages or delays.
- Assist Project Managers with subcontractor documentation, scheduling coordination, and communication.
- Gather, organize, and submit project submittals, including color choices, product specs, and certifications.
- Prepare, issue, and monitor purchase orders aligning with project budgets and timelines.
- Manage permit applications, assist with compliance inspections and related documentation.
- Track project progress within management systems and proactively address challenges, escalating with proposed solutions.
- Support site supervisors on documentation, safety compliance, and quality control procedures.
- Keep accurate records of deliveries, equipment usage, milestones, change orders, and essential documentation.
- Facilitate communication between field teams and office staff to align on schedules, resources, and objectives.
- Assist with client communications, scheduling updates, meeting coordination, and professionally represent the construction team.
- Compile and submit project closeout materials such as warranties, as-built documents, manuals, and final inspections.
- Help prepare weekly and monthly project status reports for Project Managers.
- Identify and recommend improvements in scheduling, communication, documentation, and field coordination processes.
Candidate Profile
- Prior experience in construction coordination, project administration, or similar roles within construction.
- Familiarity with construction sequencing, site logistics, permitting, safety standards, and quality control needs.
- Proven ability to manage multiple projects simultaneously while maintaining close attention to detail and deadlines.
- Proficient with project management tools, ERP systems, and Microsoft Office; knowledge of Build/Forma, Microsoft Project, or comparable software is preferred.
- Excellent organizational, communication, and problem-solving abilities.
- Capable of independently prioritizing tasks with minimal oversight.
- Track record of meticulous project documentation management.
- Strong resource coordination and scheduling skills ensuring projects stay on contractual timelines.
- Solution-focused approach toward challenges.
- Collaborative, responsible, proactive with professional integrity.
Physical & Work Environment
- Requires extended periods of computer work and sitting.
- Perform repetitive administrative duties with precision.
- Occasional lifting of items up to 20 pounds.
- This remote/hybrid role involves routine collaboration with teams, vendors, clients, and field staff. Some travel to project sites for coordination, inspections, documentation, or operational support is expected.
