Job description

Overview

The Debt Collector role involves managing billing, invoicing, tax compliance, credit control, debt collection, reporting, and client dispute resolution. The position requires alignment with contracts and project milestones, ensuring invoicing and payment collection comply with statutory regulations and company policies. The incumbent will handle multi-currency invoicing and maintain close coordination with various teams to safeguard company cash flow and minimize bad debts.

Key Responsibilities

  • Align invoices with contract terms, project milestones, delivery schedules, and billing requirements for software and implementation projects.
  • Reconcile billing records against contracts, purchase orders, and local purchase orders, monitoring retention sums and milestone payments to ensure timely claim submission.
  • Collaborate with project and technical teams to confirm deliverable acceptance prior to invoicing.
  • Execute invoicing and credit notes adhering strictly to the Uganda Revenue Authority's EFRIS and client electronic submission portals.
  • Apply and reconcile VAT, withholding tax, and other statutory deductions accurately on invoices and receipts.
  • Manage the processing and configuration of deemed invoices as required.
  • Maintain accounts receivable ageing reports, escalating overdue accounts per credit policy.
  • Proactively pursue outstanding payments via calls, emails, and mandatory on-site visits when necessary.
  • Match receipts, including bank transfers and cheques, to corresponding customer accounts promptly.
  • Handle documentation and follow-up specific to government and parastatal clients, ensuring proper procedures and record-keeping.
  • Invoice and collect payments in multiple currencies including Uganda Shillings and US Dollars, monitoring exchange-rate risks on long-term receivables.
  • Coordinate with sales to enforce credit holds on accounts with payment defaults.
  • Track collection KPIs like Days Sales Outstanding and report progress against targets.
  • Provide collection forecasts supporting finance cash flow planning.
  • Evaluate and report bad debt risks, advising provisions for doubtful debts.
  • Recommend escalation of accounts for service suspension or referral to external collection or legal avenues as appropriate.
  • Investigate and resolve billing disputes and short payments in partnership with sales, technical, and legal teams.
  • Respond efficiently to client queries about statement discrepancies, withholding tax certificates, or delivery issues to facilitate timely payments.
